1. Complete Accounting for Asset Managers

  • Obtain information from Asset Managers.
  • Reconcile bank account, cash dividends, debentures, etc.
  • Update General Ledger accurately, meeting deadlines.
  • Prepare accurate journals and reconciliations for Asset Managers.
  • Ensure the most uptodate financial information is available as this affects market values.
  • Compare movements from one month to the next and highlight major discrepancies.
  • File all documents.
  • Maintain a running total of yeartodate figures.

2. Complete Accounting for Private Equities, Dividends and Properties

  • Verify market values are correctly supplied by private equities.
  • Check all drawdowns and distributions are received.
  • Check schedules are updated on Maitland and matched to the General Ledger.
  • Calculate price (market value divided by book value) for each equity and update on Maitland.
  • Check daily movements of dividends.
  • Check that all corporate action are received and update on Maitland.
  • Check payments and receipts of dividends from banks.
  • Verify that dividends paid match the amount on Maitland.
  • Check bank statement for income received and allocate to spreadsheet.
  • Prepare cheque requisition for payments.
  • Prepare monthly journal for properties.
  • Prepare income statement and balance sheets by due date.

3. Complete Accounting for settlements Deal Administration and prepare month end reconciliations

  • Check settlement dates and request payment from bank.
  • Prepare allocation for accounting department.
  • Verify that monies are transferred.
  • Capture daily deals on Maitland.
  • Check receipt of brokers' notes from counter parties and deal slips from dealing room are received.
  • Send instruction to Bank.
  • Reconcile bank's daily / monthly position with Maitland.
  • Investigate any variances and ensure understanding for variances.
  • Conduct a control on fees for each Asset Manager.
  • Monitor security lending through calculating shares out on loan.
  • Ensure receipt of money for shares on loan and reconcile.
  • Prepare accurate reconciliations for Committee Fees, Administrative charges and cash outside portfolio.
  • Account and administer EPPF's Scrip by ensuring that it balances to the holding of the custodian.
  • Check settlement dates and request payment from bank.
  • Prepare allocation for accounting department.
  • Verify that monies are transferred.

4. Prepare VAT Reconciliations

  • Calculate and prepare VAT payments.
  • Prepare month end journals.
  • Perform VAT reconciliation to ensure there are no penalties and interest charges are incurred.

5. Proxy Form Administration

  • Obtain signatures for receipts of notice of AGM from bank.
  • Forward proxy forms for AGMs to Portfolio Manager
  • Listed Equities and submit to Corporate Actions Department at bank.
  • Deal with ad hoc requests in accordance with policy and procedures.

6. Support Audit Process

  • Prepare complete yearend audit files for each Asset Manager.
  • Collate all Asset Manager files and supporting documents for ease of accessibility during the audit.
  • Assist with attending to audit requests and provision of financial information during the audit.

7. Other Adhoc tasks

  • Participate in Projects and meetings as and when required.
  • Perform other administrative tasks i.e., filing and Fraxion requests.

REQUIRED MINIMUM EDUCATION AND WORK EXPERIENCE

  • Relevant Diploma. A bachelor's degree will be advantageous.
  • At least 3 years jobrelated experience.

TECHNICAL COMPETENCY REQUIREMENTS

  • Knowledge of Investment Administration and Accounting standards and procedures
  • Knowledge of Investment Bookkeeping
  • Knowledge of Financial procedures and practices
  • Ability to conduct cash book reconciliations, reconciliations and knowledge of debit/credit principles
  • Basic knowledge of foreign exchange
  • Business online (Standard Bank)
  • Excel Intermediate
