Key responsibilities include the following:

  • Communicating with Director and establishing critical priorities for scheduling purposes.
  • Director's Diary management
Interacting internally (executive management team, departments) and externally to confirm arrangements and programmes.

  • Cocoordinating the décor and layout, food service, invitation, media protocol requirements for internal executive events and functions.
  • Briefing the Executive on the status of the event with respect to confirmation on the guest list, schedule of events, etc.
  • Searching for information on specific topics on behalf of the Director using electronic internet medium, library resources, etc. and specialist personnel
and, collating and forwarding for perusal and / maintaining library reference materials relevant to the function.

  • Preparing notification, agendas, and minutes for specific meetings.
  • Attending to telephonic calls and visitors to the Director Office, establishing nature of visit and attending to specific routine matters and/ or recording
details of enquiries and/ or messages in the absence of the Director and forwarding for attention upon availability.

  • Removing and replacing consumable items (paper, ink) from specific office equipment's, transmitting/ receiving facsimile and/ or attending to the
photocopying of correspondence/ documents.

  • Maintaining stocks of standard forms and stationery and completing requisition orders to facilitate the replenishment of items prior to depletion.
and approval of and communicating response established for specific/ or routine matters.

  • Retrieving supporting documentation and records as per Director's request to facilitate and support query resolution or Discussions.
  • Designing and maintaining a filling system for the department and manual backup of documents and policies.
Required Academic Qualification/s, competences, and experience.

  • Grade 1
  • A Secretarial Certificate or equivalent will be advantageous.
  • Two (2) years or more in a secretarial/administrative or related environment.
Must not have a criminal record.

  • A valid motor vehicle licence.
Ability to react quickly and calmly in emergency situations.

  • Ability to use Microsoft operating system
  • Ability to communicate effectively, analyse data, prepare records and reports.
  • Ability to work well with diverse groups and provide effective leadership.
  • Excellent organizational and time management skills
