Our Client is seeking a Wealth Administrative Assistant to play a vital role in supporting the smooth operation of our financial planning and investment services.
Job Title: Wealth Administrative Assistant
Location: Cape Town
Salary: Market-related
Closing Date: End of June 2024
Responsibilities
- Handling telephone communications, including both incoming and outgoing calls, taking messages, and promptly relaying them to the Financial Planner.
- Recording and saving telephone communications in our workpool system for record-keeping purposes.
- Assisting the Financial Planner and Para-Planner with administrative tasks related to new and existing business, such as long-term assurance policies, medical aids, gap cover, and investments.
- Processing client account amendments based on received instructions using the designated workflow process.
- Managing email correspondence, including responding to client inquiries, document distribution, and appointment scheduling.
- Sending necessary documents to clients, corresponding with them regarding reviews, amendments, and other matters.
- Coordinating appointment scheduling based on the Financial Planner's calendar.
- Updating registers for new business, cancellations, and training activities.
- Reporting client complaints to management for resolution.
- Providing mentorship and training to junior staff when needed to support their growth.
- Supporting the Financial Planner in client retention through excellent service delivery.
- Promptly processing new business applications and handling amendment requests within specific timeframes.
- Establishing and nurturing relationships with clients, product providers, and stakeholders.
- Responding to client requests promptly and ensuring compliance with regulatory requirements in all interactions.
- Managing the Financial Planner's calendar and tasks efficiently.
- Staying updated on industry developments, product knowledge, and regulatory changes.
- Participating in internal meetings and training sessions to enhance skills and knowledge.
- Attending external training sessions related to administrative tasks.
- Completing annual FICA tests and reporting any suspicious activities.
Requirements
1. Strong relationship and management skills for client, colleague, and provider interactions.
2. Thorough knowledge of wealth insurance products.
3. Ability to assist with new business processes.
4. Relevant qualifications and certifications are preferred.
5. Effective time management and ability to work under pressure.
