Ensures payroll is processed with speed and accuracy.

Serves as liaison to employees and with third party payroll vendors to ensure payroll processing accurately reflects company specific pay policies.

Audits employee pay records and reconciles totals by department, location, country, etc. Coordinates third party payroll system implementations and upgrades.

Interprets pay policies, (e.g., vacation, LOA, disability, workers compensation, union contracts, government regulations, withholding exemptions, etc.) and ensures appropriate amounts/deductions are calculated and applied to the various accounts correctly.

Verifies compliance with federal and state payroll requirements; stays current with changes in the law. May assist with audits of internal records, workers compensation, tax filings and related documentation. Documents payroll processes and procedures; may train payroll department staff.

May back up those who perform specialized tasks or activities such as stock option exercises, SEC document filing, or sales commission calculation reviews.

HR & Payroll Preparation Management

  • End to end payroll administration, processing and reporting which includes:
  • Manages the work flow to ensure all payroll transactions are processed accurately and timely;
  • Maintains the payroll system to ensure employees records are accurate and uptodate;
  • Utilise the payroll system to calculate and process employee leave entitlements in accordance with relevant agreements, including but not limited to annual leave, sick leave and long service;
  • Checking data quality including reviewing audit reports, making enquiries and adjustments for irregularities before payments, uploading payment files to the bank and producing output reports;
  • Reconciling payroll deductions, earnings, benefits and preparing remittance, recons, third payments and employee CTC packages in a timely, accurate and efficient manner;
  • Maintaining personnel files and other HR / Payroll records;
  • Updating payroll parameters for changes associated with legislation amendments (e.g. SARS, BCEA, SDL, UIF, COIDA) and internal policies (e.g. commission, claims, other leave benefits);
  • Liaising and coordinating with benefit providers to ensure the organisation meets statutory requirements and contributions to the funds reconcile with the payroll reports on a monthly basis;
  • Be knowledgeable and show understanding of proper taxation benefits such as Provident Fund, Group Life, Medical Aid and also employee's salaries;
  • Assists with admin tasks related to, but not limited to Employment Equity, Skills Development, BBBEE, Climate Surveys and Occupational Health & Safety

HR & Payroll Reporting

  • Maintain reports and payroll transactions to support the integrity of the system and to meet audit requirements;
  • Ensuring that monthly and end of year procedures are followed including reconciliation lodgment of taxation requirements such as EMP201, EMP501 and Provisional tax.
  • Producing of various payroll, leave and human resources related reports by conducting investigations, analysis, gathering information and statistics and generating reports;
  • Preparation of different payroll related reports for EXCO as required;
  • Ensure all reports are accurate and distributed in a timely manner without missing set deadlines;
  • Preparing periodic reports of earnings, taxes, and deductions;
  • Preparing and balancing periodend reports, and reconcile payroll payments to third payments;
  • Ensuring the accuracy of payroll integration to relevant systems for payment such as Standard Bank online. Ensure ontime and accurate payruns for the area of responsibility.
  • Ensure that all approvals and governance steps are complied with before payroll payments are made.
  • Ensure that all financial capturing and processing is done in compliance with all relevant legislation and internal policies.
  • Prepare relevant monthly, quarterly, and annual reportsie: Comparison data reporting, alert reporting etc.
  • Resolve payroll related issues and queries.
  • Balance payroll accounts by resolving payroll discrepancies.
  • Performing payroll checks and audits in every pay cycle.
  • Review and audit the processing of payroll changes (eg: engagements, terminations, promotions, and transfers)
