Job Summary
The Facilities & Maintenance Coordinator is responsible for managing and overseeing various aspects of office facilities, equipment maintenance, and general office operations.
They serve as the central point of contact for maintenance-related inquiries and tasks, ensuring the office environment is safe, secure, and conducive to smooth operations.
The role involves collaborating with various stakeholders, vendors, and service providers to optimize office procedures and maintain a functional and efficient workspace.
Responsibilities:
Maintenance Management:
- Oversee building maintenance, promptly addressing necessary repairs and improvements.
- Proactively manage electrical, plumbing, and IT/network infrastructure issues.
- Optimize air conditioning and heating systems for optimal performance and comfort.
- Ensure proper functioning and maintenance of alarm systems, CCTV, and electric fencing for enhanced security.
Vendor and Service Provider Management:
- Foster and maintain strong vendor relationships for timely completion of certifications and services.
- Lead contract negotiations and pricing discussions with office vendors and service providers.
Office Operations:
- Schedule and coordinate meetings and appointments to ensure smooth operations.
- Handle general administrative tasks related to IT, telecommunication, and office shopping.
- Coordinate waste removal and disposal procedures in compliance with environmental regulations.
Staff Management:
- Supervise cleaning and security staff, ensuring roles and responsibilities are clear.
- Efficiently manage staff and guard rosters to ensure optimal coverage and security.
- Address performance, attendance, grievances, and related matters for staff as required.
Office Equipment and Supplies:
- Liaise with the IT department for office equipment, software, and hardware maintenance.
- Manage printer maintenance and troubleshoot technical issues as they arise.
- Procure and manage groceries, office supplies, and cleaning materials as needed.
Compliance and Certifications:
- Ensure compliance with annual certification requirements related to the office premises.
- Attend all QM meetings (Annual and Bimonthly) in order to keep aware of adverse findings and to take minutes.
- Oversee annual certifications such as Electrical CoC, ASIB sprinklers, Fire Extinguishers, etc.
Office Layout and Branding:
- Plan and optimize the office layout to enhance productivity and functionality.
- Coordinate office signage requirements for improved wayfinding and branding purposes.
Generator and Backup Power:
- Maintain the generator to ensure consistent and reliable backup power.
- Manage generator maintenance, including diesel supply and service.
Qualifications & Experience:
- Grade 1
- A diploma in facilities management or equivalent qualification in the related field would be advantageous.
- At least 5 years' experience in a relevant engineering/ high tech/ development/ manufacturing industry would be highly advantageous.
- At least 5 years' experience in facilities management, maintenance, or a similar role is highly desirable.

- Proven experience in facilities management, maintenance, or a related field.
- Strong organizational and multitasking skills to handle various responsibilities efficiently.

Salary:
R0.50 - R1.00 per month
