The incumbent will support the business in all people related operational process and contribute to fostering an engaged and inclusive work environment and culture, both in South Africa and Kigali.
About the role
The Human Resource Assistant would be expected to:
- Coordinate the recruitment and selection process
- Preparing job adverts and uploading onto the recruitment platform and website
- Assisting in ensuring that each recruitment campaign has a clear and accurate project plan
- Preparing all recruitment and selection related documentation
- Assisting with the conducting of reference and background checks, as and when required
- Assistance with management of onboarding and offboarding processes, including inductions schedules and exit interviews
- Employee Documentation
- Preparing all offer letters and contracts
- Preparing all employee change letters (subcontractor agreements, promotions. etc.)
- Creating and maintaining employee folders and information on the HR platform
- Intern Programme Support
- Coordinating the Cenfri SA internship programme, including onboarding, feedback and monthly checkins
- Monitoring timeous feedback of contract renewals
- Support the recruitment, communication and monitoring of the Rwanda fellowship and academic internship programme
- Support the coordination of the performance management process
- Assistance with ensuring that revised performance review templates are maintained
- Support the planning of the annual reviews cycles and supporting documentation
- Requesting, gathering, collating and sharing of review feedback and ensuring that accurate records of review meetings are accurately stored
- Administrative assistance for information gathering and documentation for WSP/ATR reporting
- Support training sessions coordination
- HR Reporting and maintenance of employee information
- Monthly updating of HR database and BambooHR platform
- Weekly leave reporting and maintenance of accurate leave records
- Preparing all employee documentation for monthly payroll processing
- Assistance in ad hoc HR support tasks, queries and projects
Applicants should have:
- A relevant tertiary HR qualification
- 23 years experience in a similar role
- Sound knowledge of HR legislation and related principles
- Good communication and organisational skills
- Excellent attention to detail
- The ability to manage equally important priorities and to make the required tradeoffs
- Keen interest in service delivery and clientcentricity
- The ability to work independently and as part of a team, to meet tight deadlines and to work effectively under pressure
