Role Context


To ensure that the remunerations, benefits, payroll and administration functions are performed efficiently and effectively for ZA, implement payroll processes with the objective of accurate and timely employee payments in line with payroll process guidelines and legislative requirements, offering service and support to Management and staff in these areas, building strong, trusting cross-functional relationships.


To perform the accounting and general ledger functions in an effective and efficient manner and to ensure complete, accurate and timely recording and reporting of the payroll transactions.


Key responsibilities

  • Ensure a positive employee experience for all new and existing employees through professional onboarding and termination processes and timely and accurate payment
  • Ensure exiting employees are provided with relevant UIF documentation and salary schedule timeously
  • Remove access to ESS system (including Time and Attendance system and Bargaining Council website) for terminated employees immediately upon their exit date
  • Coordinate with benefits administrators to ensure all benefits have been stopped for exiting employees
  • Responsible for maintaining employee files and record keeping ensuring all employee records are comprehensively and efficiently filed
  • Coordinate archiving and maintaining records effectively
  • Support the HR team by running reports and dashboards where required
  • Partners with team members to establish sound audit processes
  • Support HR and business users with Time and Attendance system
  • Ensures all work is in compliance with all policies and procedures, and that the distribution of reports and data is compliant with all policies governing the release of data
  • Protects the confidentiality of records and personal information
  • Provides support and consulting services to users of ESS and Time and Attendance system including report writing and data analysis
  • Partner closely with the Payroll Provider to ensure the required system functionality is operating accurately to avoid any downtime
  • Maintaining Payroll system, provide development recommendations, procedures and processes related to Payroll system
  • Serves as the system administrator responsible for assessing the impact of all systemrelated changes
- on integrated functionality to ensure efficient, effective operations are maintained

  • Implement adequate security controls for the proper safeguarding of confidential data and to ensure the integrity of accurate employee information
  • Seeks input from and coordinates system improvements with a diverse user community and serves as a liaison with decentralised users
  • Conduct day to day administration of payroll activities such as accounting, data entry, distributing and preparing payments, benefits, taxes, payroll deductions and ensure the information is accurate at all times
  • Implement best practices to calculate various components of salary such as overtime, shift allowances, commissions, bonuses etc.
  • Manage interface processes to ensure accuracy
  • Analyse extensively for patterns of new errors, repetitive issues to rectify timeously, escalate complex issues for resolution. Identify and resolve recurring errors and issues timeously
  • Review data and information required for processing to ensure compliance with DHL policies
  • Resolve employee queries timeously
  • Ensure accurate record keeping are maintained (EE files)
  • Runs payroll reports to ensure deductions balance to 3rd party schedules (IEMAS, Sanlam, etc.)
  • Runs and analyses overtime reports to ensure compliance with policy and legislation, ensuring approvals are appropriately obtained
  • Designs and implements audit reports for reporting. Partners with team members to establish sound audit processes (CRISP)
  • Development and design of standard reports/templates for 3rd party reporting
  • Identifies opportunities to enhance existing reports and dashboards
  • Ensures all work is in compliance with all policies and procedures, and that the distribution of reports and data is compliant with all policies governing the release of data
  • Protects the confidentiality of records and personal information
  • Provides support and consulting services to users of the Payroll system to include report writing and data analysis
  • Partner closely with Compensation & Benefits to build the required system fun
