PURPOSE:


We have a vacancy for an experienced travel booking agent to manage our bus and coach hire arrangements, in our Selby, Johannesburg office.

The travel booking agent will provide a start to finish service to clients who want to plan and book buses for special hire trips.


RESPONSIBILITIES:

  • Advise clients on passenger transportation options and availabilities based on their preferences, budget, and needs;
  • Enquire and provisionally book resources for enquiry bookings with the operations team;
  • Communicate with clients to determine if their transport preferences and needs are met and make recommendations based on those preferences;
  • Advising clients on travel safety and health precautions and discuss risks that may arise during the trip and share emergencies details, e.g. ambulance, operations details;
  • Providing transport related documents such as itinerary, driver special trip information, and other necessary paperwork;
  • Convert all client enquiries into quotes and invoices within the client service level timeline;
  • Handling administrative tasks, such as processing payments, issuing tickets, and preparing travel documents;
  • Maintain client files on CRM system and keep track of their transport arrangements with operations teams;
  • Follow up on payment confirmations with finance team;
  • Administrate all post travel billing items with operations and finance, example unscheduled trips, driver timesheets, fuel records and repairs to damages;
  • Responding to client inquiries and resolving any issues that arise during the booking process or during travel;
  • Contribute to the ongoing systems and process improvement projects and implement all approved processes;
  • Keep up with current industry trends, transport services and products.

EXPERIENCE:

  • At least 23 years' experience with bus bookings in the travel industry experience (Essential)
  • Proven track record of scheduling and rostering in bus bookings (Advantageous)
  • Proficiency in MS Excel
  • Client services
  • Knowledge of reservation booking system
  • Knowledge on generating quotes and invoices on Sage Accounting
  • Deep Understanding of the transport industry
  • Knowledge of performance metrics

SKILLS

  • Excellent verbal and written communication skills
  • High level of organisation skills
  • Good written and verbal English skill
  • Travel and tourism or logistics diploma
  • The ability to work under pressure.
  • Ability to multitask and manage several tasks simultaneously.
  • Excellent attention to detail.
  • Ability to work within deadline.

Salary:
R8, R9,000.00 per month
