Job Purpose:


As Program Coordinator/Administrator for the Portfolio Management Office, you will provide day-to-day Project Admin support to the Chief Portfolio Management Officer.

In this role, you will interact with key stakeholders at various levels to support the unit, arranging diaries, coordinating travel, supporting meetings, and delivering project tasks as required.

You will also be supporting the Team with general administration in the coordination and successful delivery of project tasks and timely reporting.


Duties and Responsibilities:

  • Providing the Chief Portfolio Management Officer with daytoday administration support and supporting the team and the wider business with administration tasks;
  • Providing effective organizational support for meetings and workshops, including minute taking;
  • Providing project support to the Chief Portfolio Management Officer and work closely with the team to assist in coordination of the project activities, including assisting the business in reviewing and establishing policy, processes and procedures to standardize processes;
  • Smart record keeping;
  • Updating and distribution of relevant registers and reports;
  • Supporting the business with the preparation and delivery of internal communications;
  • Maintaining and updating project schedules;
  • Be responsible for keeping the project moving forward by making sure everyone has what they need;
  • Managing assignments, monitoring progress and communicating to the project team
  • Assist with preparing action plans, analyzing risk and managing resources.
  • Handle the minutetaking at meetings.
  • Administrative duties with communicating, collecting and managing stakeholders' information.

Qualifications and Experience:

  • Matric certificate
  • Project Administration Qualification
  • Knowledge of project management in renewable energy sector, flow charts, technical documentation etc. is advantageous.
  • 2+ years Previous Project or Administration experience in a similar role

Competencies:

  • Excellent communication skills, both written and verbal with the ability to adapt these to your audience
  • The ability to work as a team player but also on own initiative
  • Good planning and organizational skills, with a keen eye for detail and the ability to prioritize your workload to demanding timescales
  • Good understanding of processes, standards and templates
  • Experience in project environment, preferably in the renewable industry

  • Johannesburg, Gauteng: Reliably commute or planning to relocate before starting work (required)
