The Defensive Line is immediately responsible for providing support to the Sales Directors in all areas of office and personal administration but is critical to the wider Sales Department of Red Bull

In this position, you will work with and assist both Sales Directors on a daily basis in various administration tasks to ensure smooth operations including; diary, travel and organisation.

You will also be responsible for planning and managing team events and sales conferences. In addition you will support the Sales team in a number of different activities. The Defensive Line is superbly organised and has strong coordination skills to proactively support the Directors and wider team.

MAJOR ACTIVITIES TO ENSURE ACHIEVEMENT OF KEY RESULTS AND DELIVERABLES:

Assist and support the Sales Director

  • Provide assistance to the Sales Director in all areas of personal administration, including preparation and editing of confidential correspondence, reports, documents, meeting minutes, presentations including typing from notes and written documents
  • Coordinate courier services, mail and facsimile distribution
  • Provide assistance in the preparation and enhancement of power point presentations
  • Process all related invoices and expenses
  • Support the Sales Directors in creating efficiencies and cost savings
  • Manage the Sales Director's diary, scheduling all appointments and meetings
  • Coordinate all meetings and appointments ensuring that all necessary information and documentation required for daily diary activities is provided and confirmations are sent to all attendees *incl. Sales Leadership Team Meetings
  • Updating and maintaining the sales department's documentation and databases
  • Keep track of very important submission dates (e.g. budget estimates, business plans, etc.)
  • Coordinate and help submit monthly team reviews, Quarterly reviews, Competitive overviews
  • Support and manage the generation of weekly and biweekly team meetings and minutes
  • Coordinate Sales team events, workshops, incentives experiences &conferences by arranging for facilities, necessary equipment, materials, catering, coordinating attendees, and managing event budget to deliver Red Bull experience every time.
  • Assisting the assistant to the General Manager in producing Companywide internal events
  • Coordinate travel and accommodation arrangements including flight details, hotel bookings and itineraries for International guests visiting South Africa
  • Track deadlines and submissions for Sales budget
KEY RESULTS AND DELIVERABLES (WHAT DOES SUCCESS LOOK LIKE)

  • Achievement of agreed individual Assignment and Targets
  • Successful ongoing relationships (internally and externally)
  • Ability to successfully manage the overall personal administration for the Sales Directors
  • Ensure all travel and accommodation requirements for the Sales Directors and International guests is well-organised and hassle-free
  • Ensure calendars are kept up-to-date with all relevant information
  • Ensure files are easily accessible to those who require the information
  • Stays up to date with team, knows what is going on across the company (finger on the pulse)

Your areas of knowledge and expertise:

  • Higher education diploma or university degree (business, marketing or similar)
  • KNOWLEDGE, SKILLS AND EXPERIENCE
  • Experience as a Personal Assistant/Coordinator
  • Experience within an FMCG, Media or Advertising multinational company in a similar position (strongly preferred)
  • Welldeveloped oral/written communication skills and excellent listening skills
  • Maturity to handle situations and confidentiality
  • Ability to create good selfcorrespondence with mínimal supervision
  • Advanced experience with Microsoft Office programs including Word and Excel
  • Ability to create engaging presentations using PowerPoint
  • Strong multitasking and organizational skills
