Our client is looking for a Sales Co-ordinator who will be responsible for ensuring a smooth and effective sales administration process is maintained and administrative support provided to the sales team to ensure increased sales and customer satisfaction.

Requirements:

  • Grade 12
  • Intermediate functionality in MS Office product suite, specifically Excel
  • Previous marketing and sales experience advantageous
  • 2 years sales admin experience advantageous.

Key Performance Areas:

Create Files for Rentals, Demos and Cash Sales.

  • Obtain Customer Files from Sales Reps.
  • Send Files to technical team,
  • Receive serial numbers from Michaela (who sends information to Finance (Sudeshnee)).
  • Obtain Invoice for installation from Finance.
  • Check the Invoice before sending to Operations Supervisor/Administrator for Dispatch – ensure that the Invoice details, milk (consumable requirements) and serial number all correspond.

Complete ADDENDUM to contracts in order to 'Pause', 'Add' more or remove from contract agreement.

  • Send Addendum to Clients as per changes and items requested.
  • Send Addendum to contracts to Sales Reps after completing them.
  • Complete documentation fully and ensure accuracy of all changes required.
  • Assess 'profitability' of changes required.
  • Add in special clauses and requirements as requested.
  • Send to Directors to sign off changes made and make changes.

Check Sales Contracts from Sales Reps before they are signed by Arndt, before being sent to Technical Team and Finance Department.

  • Check that all signatures are present and in the correct place.
  • Check that the contracts look professional.
  • Check that the machine is listed correctly and that the pricing is listed correctly.
  • Ensure that service rentals are included.
  • Ensure that the consumables are required are reflected in the contract, in the Set-up Form, as part of or separate to the contract.
  • Ensure that Installation details are included in the contract.

Onboarding of new customers.

  • Update KAM Clients for each Sales Representative.
  • Update client account details weekly.
  • Check credit details with Finance (Gillian) before onboarding new customers.
  • Ensure that company name, machine rentals, period of rentals are clear and present.

Follow up Leads from Website for consumables and machines.

  • Compile report (Team Lead Roster) for sales staff and update details daily.
  • Assign Sales staff to leads and follow up on leads pursued.
  • Capture feedback from Sales Team on Team Lead Roster Spreadsheet.
  • Make Business Development Manager aware of any problems that may exist.

Oversee Telesales

  • Ensure that Telesales reps make 50 call a day to new clients.
  • Receive reports from Matrix Marketing daily.
  • Resolve problems from Matrix Reports for Telesales staff.
  • Give feedback on any problems or issues that may exist.

Control of sales reports, contracts, proposals and other documents within the sales department;

  • Oversee the sales process;
  • Add installation dates to the diaries of the Sales team members

Serving as the co-ordinator between the sales department and all other departments;

  • Building and maintaining relationships with clients and colleagues;
  • Managing day to day sales activities;
  • Assisting with ad hoc off-site installations and demo assistance and events from time to time.

Rendering After Sales Service to clients.

  • Follow up after installation with clients.
  • Assist with any queries or problems that may exist and resolve problems within 8 hours.
  • Provide feedback to management on any issues or problems that may exist in 'real' time.

Key Performance Indicators:

  • Ensure less than 5% customer complaints are received regarding contracts compiled and Addendums created.
  • Ensure customer complaints are 100% resolved within 24 hours (1 day).
  • Ensure that all client leads are followed up on without exception and recorded accurately on Team Lead Roster Spreadsheet.
  • Ensure 100% accuracy of all Sales contracts.
  • Ensure 100% of all ADDENDUMS to Sales contracts.
  • Ensure accurate and efficient Onboarding of all new customers.
  • Ensure feedback is provided to Management on any risks and issues.
  • Assist with After Sales Service in a manner that ensures customer satisfaction and repeat sales.
  • Ensure Installation dates are added to the calendars of Sales Staff Timeously.
  • Ensure that all Matrix Reports are received daily and problems are resolved.
  • Ensure all Telesales staff make 50 new client calls daily and provide feedback to management if this does not happen.
  • Ensure good working relationships with all Departments.
  • Ensure that Code of Conduct is adhered to at all times.

Salary:

  • R17 000 per month (negotiable dependent on relevant experience)
