Job Purpose

  • Key Outputs may include but are not limited to:

Contract Management

  • Create and maintain relationships with suppliers and serve as the singular point of contact for matters concerning contracts.
  • Gather costing for contracts up for renewal or new suppliers.
  • Submit these costings to Procurement for approval
  • Compile all documentation and submit for Capex approval
  • Communicate with Legal regarding contract setup
  • Ensure all documentation free of errors and relevant signatures are in place
  • Ensure contracts are signed off and to the delegation of authority

  • Discovery Facilities manager (David)
  • Submit to Contract Management
  • Maintain computerised records for correspondence and documentation in relation to established contracts and those in progress
  • Monitor contracts and move forward with closeout, extension, or renewal
  • Keep track of contract cost, SLA, and Penalties
  • Resolve any contractrelated issues that may arise
  • Ensure new contract submission are requested 3 months prior to renewal

Contractor management

  • Management of the Waste Services
  • Management of the Gardens Services

Reporting

  • Monthly reports and stats are updated by 10th of every month
  • Consumption of water, power and Gas Nationally
  • Report on Environmental requirements (HVAC Gases, diesel)
  • Other reporting requirements
  • Analyse for errors and submit to Reporting
  • Environmental reports complied
  • Analyze Planon Weekly and Monthly report presentation for both reactive and Planned Maintenance
  • Compile Planon Workflow reports for incentives

Administration and Other

  • Assist with Team events
  • General admin for the following:
  • Environmental forum
  • Compliance
  • Admin task that is out of the scope of operational team and for general team
  • Credit Card recon for the team
  • Uniforms for the team
  • Storage of documentation and other
  • Regional admin when required
  • Assist with invoice submission to procurement for payment

  • Support Environmental team with events, research and other tasks

  • Capex
  • Order numbers

  • Job / Role Requirements
    Work Experience

Required

  • 5 years knowledge and work experience in contract management.
  • Compiling and reports from stats received from the Technical Team and systems.
  • Managing contractors.
  • Managing team events. Must be great at communication and writing skills.

Preferred (would be advantageous)

  • Worked in the Job card management environment
  • Learning in the Facilities field
  • Working experience in tasking team with work orders
  • Knowledge of Power BI
  • Excellent knowledge of Excel

Education / Qualifications / Accreditations with Professional Body

Required

  • Grade 12

Preferred (would be advantageous)

  • Qualification in Facilities management and education involving stats and reporting

Technical Skills or Knowledge

Required

  • Effective communication and interpersonal skills, with the ability to effectively train and influence others.
  • Detail oriented with analytical and problemsolving skills.
  • Ability work independently within in a team environment.
  • Proficient in Office365 suite and relevant software.
