CHARACTERISTICS/TRAITS REQUIRED:
Attributes must include honesty, reliability, and excellent communication skills. Play a pivotal role in providing comprehensive administrative support to ensure the efficient and smooth operation of the branch. Assist in coordinating various tasks, managing communications, and maintaining organizational systems critical to the branch's success.
DUTIES INCLUDE BUT ARE NOT LIMITED TO:
General Office tasks:
Provide administrative support and perform general office duties as assigned by Departmental Team Members to meet Branch's requirements. Dealing with queries. Stock and inventory management. Data capturing, etc.
Administrative duties and support:
Provide high-level administrative support to the Branch Manager by managing schedules, coordinating meetings, compiling agendas, taking minutes, handling correspondence, and organizing departmental documents and reports.
Maintaining and updating electronic and physical files. Supporting Managers and Team Members in various administrative tasks.Data Management:
Assist in organizing, maintaining, and updating databases, spreadsheets, and other documentation relevant to Departmental operations. Updating and maintaining monthly rosters.
Submission of information to Human Resources for salary payments by 19th of each month.
Communication Liaison:
Act as a liaison between the branch and internal/external stakeholders, facilitating effective communication and ensuring timely responses to inquiries.
Directing communications between colleagues, suppliers, and customers.Office Management:
Maintain office supplies. Manage branch expenses. Oversee general office tasks to ensure a well-functioning and organized work environment. Coordinating and organizing schedules for meetings and events.
Technical Coordination:
Assist in coordinating technical projects by tracking deadlines, and updating project status reports.
Process Improvement:
Identify opportunities to streamline administrative processes within the Branch and other Departments and contribute ideas for enhancing efficiency and productivity.
EXPERIENCE REQUIRED:
At least 2 years of administrative experience within an administrative role, preferably within the security industry.
Proficiency in office management software (MS Office Suite, Google, etc.) and the ability to quickly adapt to new systems.
Excellent organizational and multitasking skills with meticulous attention to detail.
Strong communication abilities, both written and verbal, to interact effectively with various stakeholders.
Ability to prioritize tasks efficiently and work independently or collaboratively within a team.
Proactive problem-solving skills and a positive attitude in a fast-paced environment.
KNOWLEDGE & CERTIFICATIONS REQUIRED:
Grade 12 or equivalent
Must be fluent in English
Tertiary qualification or equivalent (at least 2 years' experience).
