RESPONSIBILITIES:
The responsibilities of the incumbent will include, but are not limited to:

  • The strategic management of the Division's human resources, stakeholder management and budget control;
  • Identifying relevant aspects within the strategic plans of the University, Faculty and Department applicable to the student administration of both undergraduate and postgraduate students, and derive strategic objectives from that;
  • Ensuring that the strategic objectives of the department are in line with the University's Mission and Vision;
  • Participating in the total process of recruitment, selection and placement of staff;
  • Determining and defining the area of the tasks, and ensure job descriptions correctly reflect the job content and level of performance, in order to ensure that the whole spectrum of activities between the different subunits are covered;
  • The planning and organisation of orientation of new students (undergraduate and postgraduate);
  • Financial and budget management by ensuring all requests in respect of infrastructure and tools, that are approved are included in the various annual budget planning cycles for capital expenses (Facilities and Information Technology);
  • Planning the annual operational and personnel budget according to needs identified;
  • Managing the budget continuously according to the allocation;
  • Ensuring customer service management by ensuring that the staff resources are fully trained and knowledgeable on all faculty matters, and are aware of all resources available to them to consult when needed;
  • Acting as secretary of the Faculty Board meetings;
  • Being a member of the applicable Faculty committees;
  • Stakeholder management as well as identifying stakeholders and interest groups, and determining their influence and importance in respect of the divisions of Student Administration;
  • The compilation of the yearbook;
  • The implementation of Teaching and Learning Committee decisions.

MINIMUM REQUIREMENTS:

  • A Threeyear relevant Bachelor/ B Tech degree;
  • At least five (5) years' experience in student administration of which three years should be at management/supervisory level in academic/student administration;
  • Proven experience and advanced knowledge of all student administration processes and procedures;
  • Proven managerial or supervisory experience in academic/student administration;
  • Management of formal meetings;
  • Experience of Distance Education student administration;
  • Experience in all aspects and processes of student support services, that includes: Bursary and Financial allocations, Student Accounts, General Financial and Budgeting Management, access cards, residence placements and general enquiries;
  • Experience of project management;
  • Experience in the use of Student Administration systems;
  • A valid driver's licence.

  • Specialist knowledge of all processes of student administration;
  • Knowledge of relevant policies and regulations and processes;
  • Experience in all aspects and processes of student support services, that includes: Student Finances, Student Accounts, General Financial and Budgeting Management and general enquiries.

ADDED ADVANTAGES AND PREFERENCES:

  • A management training programme;
  • Experience in budget and project management;
  • Experience in the use of an electronic student database;
  • Experience of Distance Education student administration.
The annual remuneration package will be commensurate with the incumbent's level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED and UMVUZO medical aid schemes and contributes 50% of the applicable monthly premium.
