PURPOSE OF JOB

  • To provide records management services such as document sorting, preparation, scanning & data capture at customer site.
  • To ensure that all work processed meets the required standards and fulfills the needs of the client at all times.

KEY RESPONSIBILITIES include the following:

  • Prepares all documents by organizing and prepping them for scanning.
  • Sorts documents into batches of similar types for efficient processing.
  • Applies necessary labels onto documents.
  • Scans all documents following specific settings.
  • Calibrates scanners regularly for optimal image quality.
  • Checks for and removes any foreign objects from scanners.
  • Cleans and maintains scanning equipment daily.
  • Indexes documents accurately into the system.
  • Handles physical movement of boxes and files carefully according to manual handling rules.
  • Extracts and manipulates data for retrieval as required.
  • Creates copies of data for clients and backup purposes.
  • Performs tasks according to the daily schedule.
  • Liaises with coordinators and staff to meet objectives.
  • Ensures all service level agreements are met.
  • Collates statistics for reporting purposes.
  • Communicates promptly on any issues.
  • Reports exceptions or queries to supervisors/managers.
  • Maintains good housekeeping in the work area.
  • Other duties as assigned.

SUPERVISORY RESPONSIBILITIES

  • No supervisory responsibilities.

QUALIFICATIONS, EXPERIENCE AND KNOWLEDGE:

  • Matric Certificate/Diploma in Administration, Customer Service, or Business Administration preferred.
  • Minimum of 3 years of experience in data capture.
  • Knowledge of scanning techniques is advantageous.
  • Proficiency in MS Office is required.
  • Excellent command of English.
  • Strong communication and interpersonal skills.
  • Customer-focused with attention to detail and accuracy.
  • Team player mindset with the ability to work independently and meet deadlines.
  • Professionalism and strong organizational skills.
