Objective of this Job Scope:

The main goal of this role is to provide general administrative support for projects in CSD Portfolio and HOCR Programmes, ensuring their smooth operation.


Scope of Responsibilities:
  • Schedule project meetings, including organizing catering when necessary.
  • Support monthly PMO and executive reporting.
  • Handle secretariat duties for programme steering committee meetings.
  • Take meeting minutes.
  • Update project schedules.
  • Process and file programme documentation (physical and electronic).
  • Review and track programme deliverables.
  • Deal with project-related change management material.
  • Assist with on-boarding / off-boarding and vetting of new programme team members.
  • Manage travel reservations.
  • Handle communications.
  • Provide or assist with any other relevant services or tasks.
Key Responsibilities:
  • Assist in compiling and maintaining essential project documentation to ensure project compliance with PMO standards and procedures.
  • Organize and manage project information and reports to keep stakeholders informed about project status.
  • Liaise with various internal and external stakeholders throughout the project life cycle.
  • Update and maintain project schedules, highlighting any deviations.
  • Maintain a project repository for accessibility and audit purposes.
  • Schedule meetings, prepare meeting materials, record and distribute minutes, and follow up on action items.
  • Record and maintain lessons learnt, risks, issues, and action logs.
  • Coordinate project activities in the absence of the project manager.
  • Maintain financial spreadsheets for payment tracking and vendor liaising.
  • Coordinate strategic projects and operational programmes to support CSD's objectives.
Education and Experience:
  • Higher Certificate (NQF 5) in Project Administration or Project Management.
  • Two to five years' experience in project administration.
  • Knowledge of project management with a focus on administration.
  • Five to eight years' experience in project/programme management.
