Description

Excellent opportunity for an experienced Bookkeeper at a fast-growing medical import and distribution business. Their offices are situated in the Northern Suburbs of Cape Town.

The ideal candidate should have at least 5 years of solid bookkeeping experience and a degree or certificate in finance or bookkeeping will be an advantage. Candidates qualified by experience and in a similar role will also be considered. Proficiency in Sage, Pastel and Excel is required, and the candidate must be detail oriented. Previous imports and retail experience will be beneficial.

The role will predominantly entail bookkeeping and finance functions with additional administrative duties.

Duties and Responsibilities:

Finance

  • Capturing of bank statements on Pastel.
  • Reconciling bank statements.
  • Printing of customer age analysis and follow-up on payments due and customer queries.
  • Reconciling debtors where necessary and following-up on customer queries and differences.
  • Processing of settlement discount where applicable.
  • Create rental invoices and processing in correct entities.
  • Capturing supplier invoices to be paid.
  • Reconciling creditors where necessary and following-up on supplier queries and differences.
  • Printing of remittances for supplier invoices.
  • Updating To-pay schedule.
  • Filing of proof of payments to the remittance advices in the To-pay files.
  • Filing of payments once bank recon has been completed.
  • Sending out customer statements.
  • Updating of credit card slips spreadsheet and getting sign-off.

Petty Cash

  • Capturing expenses and receipts on Excel.
  • Processing bank recon on Pastel.
  • Distribution of money when needed.
  • Responsible and ownership of the petty cash box.
  • Responsible and ownership of the company debit card.

Exports

  • Checking exchange rates and booking exchange rate.
  • Sending documents to foreign exchange supplier.
  • Checking documents (deal receipts that the following is correct - supplier name, supplier address, supplier banking details, our details, the exchange rate is correct, the value you are booking is correct).
  • Sending supporting documents for payment.
  • Sending POP to foreign Exchange supplier.
  • Sending POP to supplier.

Inventory

  • Checking stock-levels on a daily basis and ensuring that intercompany journals and invoices are done to reflect correct stock-levels.
  • Daily, weekly and monthly stock reports to management.
  • Assistance in stores when required.

Business/Family Trusts

  • Capturing of Bank statements on Pastel.
  • Reconciling Bank Statements.
  • Filing of Payments once

Mailchimp/Promotions

  • Check stock levels and confirm with relevant personnel.
  • Discuss high stock levels with Management.
  • Design and send out approved promotion list.
  • Resend Mailchimp listing on the 10th of each month.
  • Design promotion for website to be same as Mailchimp.

Assist Functions

  • Assist with any promotions.
  • Assist with box design proofing.
  • Assist with package insert proofing.
  • Assist with following up on designs requested from graphic designer.
  • Keep travel-log updated daily, weekly and monthly.
  • Printing of time and attendance sheets.
  • Assist with Audits e.g., Travel log and medical expenses.
  • Filing.

General

  • Ordering of stationary.
  • Ordering or compiling of office supplies list.
  • Bookings, communication and confirmations.
  • Communication and follow-up with suppliers regarding issues with e.g., computer, WIFI, telephone, server issues, Nashua, Oasis Water, MTN.
  • Arranging annual fire training.
  • Assist with insurance claims.
  • Motor vehicle registration and yearly licensing.
  • Supplier contracts.
  • Customer contracts
  • Seta compliance.
  • Making tea/Coffee, organising meals.
  • Attending to guests.

Qualifications and Experience:

  • Degree or certificate in accounting, bookkeeping or finance related field.
  • Qualified by experience.
  • 5+ years accounting/bookkeeping experience.
  • Retail and Import experience beneficial.
  • Working knowledge Sage and Pastel.
  • Excellent Excel skills.
  • Excellent reconciliation skills.
  • Accurate and attention to detail.

Remuneration:

  • R180,000 to R300,000 per annum ctc.
