Role Overview The Executive Assistant will serve as Client's right hand—owning his inbox, managing his schedule, and providing administrative support across several business entities. Ideal candidates must be excellent communicators, highly organized, and capable of thinking proactively. This role can start part-time or full-time, depending on fit.
Key Responsibilities
  • Inbox Management (Primary)
  • Fully manage and triage Client's email inbox(es)
  • Prioritize messages, flag urgent items, draft replies, and organize communications
  • Build and maintain labeling + filtering systems for email efficiency
  • Ensure Client only sees what's necessary and that no message is missed
  • Calendar & Scheduling
  • Proactively manage calendar across multiple businesses
  • Book meetings, calls, and reminders
  • Manage reschedules, confirmations, and follow-ups
  • Ensure Client is always prepared for upcoming meetings
  • Administrative Support
  • Conduct basic online research (vendors, partners, companies, tools)
  • Prepare summaries, briefs, and recommendations as needed
  • Assist with light documentation and organizational admin tasks
  • Coordinate simple workflows and establish streamlined processes
Nice-to-Haves (Not Required, But Preferred)
  • Social media management (Instagram, LinkedIn, YouTube, etc.) ○ Posting content ○ Creating simple graphics ○ Maintaining a consistent online presence ○ Basic content strategy or creative input
  • Bookkeeping Support ○ Experience using QuickBooks Online ○ Light AR/AP assistance, categorizing transactions, reconciling accounts
Tools & Platforms

Candidate Requirements
  • 3+ years experience as an EA, PA, or Admin Assistant
  • Exceptional English — written and spoken
  • Very strong organization and time management skills
  • Experience handling inbox and calendar management for senior-level executives
  • Ability to proactively anticipate needs without detailed instructions
  • Discretion and confidentiality when handling sensitive information
  • Comfortable working across multiple brands/companies under one executive
$800 - $1,100 a month Preferred: Eastern Time Zone Flexible: The role does not require strict hours as long as inbox + calendar responsibilities are handled Available for 40 hours/week (full-time) Highly Preferred Basic Spanish proficiency (enough for simple scheduling & inquiries) Experience in pediatrics or family medicine Familiarity with prior authorizations, eligibility checks, or billing workflows Experience with medical scheduling or triage support We may use artificial intelligence (AI) tools to support parts of the hiring process, such as reviewing applications, analyzing resumes, or assessing responses.
