Description

We are seeking a dedicated and proactive Office Administrator in our Cape Town offices to manage all aspects of office and facilities administration. This role is key to ensuring the smooth and professional operation of the office, including procurement, logistics coordination, and providing efficient support to employees and management.

Minimum Requirements

Qualifications & Experience

  • Matric (required)

  • Diploma/Degree in Business Administration or Office Management (preferred)

  • Minimum 3 years' experience in office administration or a related role

  • Experience in facilities management or vendor management (advantageous)

Skills

  • Strong organizational and problem-solving abilities

  • Excellent verbal and written communication skills

  • Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)

  • Budgeting and cost-control awareness

  • Ability to multitask and meet deadlines

Key Duties & Responsibilities

  • Manage reception and ensure effective internal and external communication

  • Provide a hospitable and professional experience for office visitors

  • Oversee daily office operations and maintain a well-organized work environment

  • Manage office leasing, maintenance, renovations, and property-related matters

  • Handle procurement of office supplies and consumables

  • Manage vendor relationships (cleaning, security, catering, couriers, etc.)

  • Coordinate employee services, including travel, visas, air tickets, and transport logistics

  • Ensure proper asset management of office equipment, furniture, and IT hardware

  • Oversee administrative procurement processes and ensure cost efficiency

  • Manage budgets and monitor expenses, preparing regular reports

  • Supervise logistics, courier services, and mail distribution

  • Support HR and management with internal events, meetings, and staff activities

  • Serve as first point of contact for all office-related queries from employees and visitors
