Role: Temporary SCM Officer

Requirements:

  • Knowledge of Sage X3
  • Sound knowledge of PFMA and Treasury Regulations
  • Financial acumen
  • MS Office (excellent MS Excel)

Key Responsibilities:

  • Prepare bidding documents, including notice and instruction to bidders, and specifications for the maintenance department's annual bid.
  • Analyze quotations and make recommendations regarding awarding of contracts.
  • Confer with supplier representative to ensure full understanding of bid requirements and to keep familiar with new or revised products, price changes, or other information that could materially affect the purchasing of items.
  • Initiate contact with vendors to check on supply and equipment availability, invoices, purchase orders, and contracts.
  • Work cooperatively with suppliers to determine appropriate specifications, sources, availability, pricing, shipping, and receiving.
  • Test supplies and equipment offered by suppliers.
  • Receive purchased goods and verify quality and quantity against documentation.
  • Solicit quotations from suppliers on the database.
  • Select the best quotes by inviting three or more suppliers
  • Evaluate quotations received and makes vendor selection.
  • Prepare and review purchasing requisition for completeness and in line with the agreed timelines.
  • Generate orders.
  • Send signed order to supplier for confirmation of service.
  • Monitor suppliers to scheduled deliveries, resolve material, value discrepancy, and outstanding and overdue delivery of orders, warranty claims and damages, and return of goods within specified timeframes.
  • Contribute expertise to Risk meetings, providing advice on decisions which will minimize risk to the Commission.
  • Ensure audit findings are addressed by stipulated deadlines and resolved completely.
  • Present changes to the Travel policy to relevant stakeholders as and when required

  • Maintaining accurate records,
  • Provide input for preparation of travel-related reports,
  • Ad-hoc and handling administrative tasks like processing invoices and requisitions
