We are seeking the
Mining Region Coordinator
for our mining region branches

You will be responsible to render support to the Regional Admin/ Training Manager for regional activities, travel arrangements, meeting schedule and minutes, collate reports, maintaining a filing system for regional matters and general administrative duties.

The incumbent will also be responsible for streamlining all activities in the branches to ensure smooth work processes so that the relationship between the client and the office is cultivated for the best results for both parties.

What We're Looking For

  • Grade 12 (Matric)
  • Financial Accounting Degree/Diploma an advantage
  • Min 5 years' experience in administration
  • Staff Management – 3 years' experience
  • Target driven, self-motivated and organised
  • Excellent communication skills
  • Computer literate in Excel, Word, Power Point, MCS and Accpac
  • Experience in the service industry will be an advantage
  • Valid driver's license and own vehicle

Key Responsibilities:

  • Coordinate communications within the region with regards to monthly reports.
  • Collate regional managers' branch reports for EXCO into a final draft.
  • Implement a filing system and maintain for regional matters, contracts, tenders awarded, policies and leave schedules and general branch matters.
  • Identify and research problem areas to identify solutions to systemic errors and implement new processes
  • Ensuring Processes for Ops, Admin & Sales are being followed and reporting deviations to Regional Admin Manager & Regional Director
  • Oversee stock module
  • Coordinate all travel arrangements as required by the Regional Director
  • In-house training on processes and systems. (Policies and Procedures)
  • Regional administration management.
  • Co-ordinate diaries of Regional support Managers
  • Branch/Depot visits
  • Audit branches quarterly
  • Ongoing training to all branch staff and new staff on process
  • Responsible for implementing and maintain process at the branch on an ongoing basis
  • Developing checklists for different processed
  • Assist branches when admin staff are not available.
  • Coordinate month end deadlines, ensuring all reports and month end requirements are submitted timeously and accurately
  • Check petty cash reconciliations for approval.
  • Responsible for checking of CAPEX and obtaining approval
  • Responsible for reporting Upfront and 30 day account branch performance to Regional Admin Manager and Regional Director and ensuring a solution is in place for branches not performing on target
  • Coordinate regional meetings, collate IRM packs, take minutes, distribute and follow up on action lists.
  • Check and obtain final approval on all recruitment requisitions and employment authorisations
  • Ad hoc typing of documents and letters.
  • Check SHEQ docs for approval
  • Assist with budgets
  • Commissions – checking and approval
