INTERNAL/EXTERNAL VACANCY

Human Resources Administrator

Main Purpose of the Job

To support the HR department by handling administrative tasks like updating and maintaining

employee records on the HRIS and/or intranet, Time & Attendance, leave administration.

Minimum Education and /or Qualifications preferred:

➢ Matric/Grade12

➢ HR Diploma or Degree or related qualification

➢ 3 - 5 years HR admin experience

Knowledge, skills, and abilities required:

➢ Excellent computer skills – proficiency in MS package

➢ Experience in managing time & attendance systems (e.g. EDMA)

➢ Experience with employee leave administration on ESS

➢ Formation and capturing of complex spreadsheet

➢ Understanding of shift work, call out, and overtime implications for payroll

➢ Accuracy and attention to detail

➢ High levels of professionalism, integrity and confidentiality

➢ Able to work independently

➢ Able to work well under pressure

➢ Excellent interpersonal skills

➢ Good communication skills (written and verbal)

➢ Basic knowledge of the Basic Conditions of Employment Act, Employment Equity Act

and Labour Relations Act

The successful candidate will engage in, but not limited to the following activities:

Payroll & leave admin:

➢ Carry out administration of time and attendance – incl. ensuring overtime is properly

authorised, reconciliation & sign off timesheets (permanent & TES employees).

➢ Capture leave on the system and ensure leave records are up to date (ESS)

➢ Prepare monthly statistics, reports, spread sheets and print payslips when required

➢ Ensure overtime is properly authorised and issue overtime slips

➢ Ensure timesheets input supporting documents (sick notes,, training registers, etc)

➢ Attend to employee queries, i.e. pay & benefits related

Recruitment & Selection

➢ Manage the administration of the recruitment and selection process, i.e. advertising

positions, receiving and first level screening of applications, preparing interview packs,

arrange for interviews (call candidates, arrange boardroom, etc)

➢ Manage post interview administration, i.e. arrange for vetting of candidates (qualification

checks, criminal record checks, psychometrics, etc), prepare and send letters to

unsuccessful applicants

➢ Arrange employee pre-employment and exit medicals timeously

➢ Issue and process all on-boarding and exit clearance documents to new employee

recruits and/or terminating employees and update on HRIS (K2, EDMA, etc)

➢ Draft memo or notice to inform employees of new appointments

Labour Relations:

➢ Update records of disciplinary action and grievances on K2

➢ Assist with compiling of bundle for all internal and external matters

➢ Arrange meetings and venue for union and management engagements

➢ Type minutes of meetings

Training and Development:

➢ Assist Human Resources Officer/SDF with training administration, i.e. preparation of

training schedules, arranging training venues, arranging access permits for training

providers.

➢ Keep up to date training statistics and assist SDF with weekly and monthly reports

➢ Provide support in implementing and monitoring the Graduate in Training program and

University students Workplace training

General Administration:

➢ Perform all HR related administration for each functional area

➢ Assist in minutes capturing for all HR and stakeholder meetings

➢ Assist at reception as & when required

➢ Process orders on the system, i.e. raise PR's & PO's on behalf of HR department

➢ Assist with travel arrangments for all Directors

➢ Provide general admin support to Support Services (HR & Finance), as may be

required from time to time.
