Cape Town, Western Cape, South Africa Horizen Full time R144 000 - R192 000 per year

Finance & Operations Coordinator (Part-Time)

Sea Point, Cape Town (Hybrid)

±10–15 hours/week | R12,000–R15,000/month (depending on experience)

Horizen is building the future of in-person strength training: a modern, human-centred, values-driven strength brand that helps people become stronger — physically and personally.

As we prepare for multi-site expansion in 2026, we're strengthening the operational backbone of the business. A critical part of that backbone is the financial engine that keeps Horizen organised, compliant, and running with excellence.

We're looking for a Finance & Operations Coordinator — a detail-oriented, reliable, systems-minded person who enjoys creating order, building clean workflows, and keeping a fast-growing business running smoothly. This role will grow as Horizen grows. As we expand into new locations over the next few years, this position has a clear pathway to evolve into a larger, potentially full-time operations or finance leadership role for the right person. We're a mission-first business, and we value people who are driven, competitive in the healthiest way, growth-oriented, and energized by being part of a team that cares about excellence and the power of exercise. If you naturally thrive in high-performance environments and love contributing to something bigger than yourself, you'll feel at home here.

What You'll Do

You will own the execution and organisation of Horizen's financial administration. Your work ensures we stay compliant, organised, and ready to scale.

Payments & Supplier Management

  • Prepare and load all supplier payments via FNB Business Online (gym equipment, utilities, services, maintenance, etc.).
  • Load and process FOH-submitted retail supplier invoices (FOH owns supplier relationships; you execute payments and manage documentation).
  • Maintain accurate beneficiary records and enforce clean references and documentation.
  • Build and maintain a predictable weekly and monthly payment workflow.
  • Manage timing of payments to support cash-flow clarity.

Financial Admin & Document Management

  • Maintain a clean, audit-ready Google Drive archive for all financial documents (invoices, receipts, POPs, statements, contracts).
  • Ensure every payment has a corresponding, correctly named, correctly filed supporting document.
  • Use Dext (or similar tools) to process incoming invoices and receipts as needed.
  • Clean up legacy folders and establish a simple, scalable file structure that works for multi-site growth.

VAT & Accountant Support (Compliance)

  • Prepare the full monthly compliance pack for accountants (invoices, statements, VAT-support documents, reconciliations, and any required supporting evidence).
  • Respond to accountant queries and ensure zero missing items for VAT return submissions.
  • Ensure all financial admin is month-end and audit-ready at all times.

Reporting & Weekly Rhythms

  • Produce a weekly Finance Pulse Report summarising:
  • • payments loaded
  • • upcoming expenses
  • • outstanding documents
  • • anomalies or irregularities
  • Assist with the monthly reconciliation pack for accountants.
  • Flag variances, unexpected costs, and duplicate charges proactively.

Systems & Process Build-Out

  • Build and refine simple financial admin systems that ensure consistency and reduce errors.
  • Strengthen the workflow of invoices and documentation between FOH, Operations, and Finance.
  • Establish scalable processes suitable for a business preparing to operate multiple locations.
  • Continuously look for ways to simplify, streamline, and improve clarity in finance workflows.

Who You Are

You're the kind of person who brings order to complexity and keeps things running smoothly without needing constant direction.

You're a great fit if you are:

  • Highly organised and detail-focused — accuracy genuinely matters to you.
  • Process-driven — you prefer a clear workflow over chaotic, ad-hoc tasks.
  • Reliable and consistent — people can trust you with important responsibilities.
  • Financially literate — not an accountant, but comfortable with numbers and documentation.
  • Independent — you enjoy owning a function and making it better over time.
  • Clear communicator — you keep the right people informed, on time.
  • Calm under pressure — you don't get rattled by moving parts or deadlines.

If you're known as "the organised one" or the person who makes systems work — this role will suit you perfectly.

Role Details

  • Hours: 10–15 hours/week
  • Working model: Hybrid — 1–2 days/week onsite; remainder remote
  • Salary: R12,000–R15,000/month
  • Reports to: Founder / Managing Director
  • Start: Immediately
