Job Description – Showroom Assistant

Position Overview

The Showroom Assistant will be responsible for supporting the daily running of the showroom, assisting clients, coordinating orders, and managing communication between the design, production, and supplier teams. The role combines administration, client service, and light project coordination, helping ensure each job runs smoothly from concept to completion.

Role Purpose

To provide operational and administrative support to the lead designer by managing showroom activities, handling client interactions, coordinating orders, following up with suppliers, and maintaining the presentation and organization of the showroom.

Key Responsibilities

1. Client Service & Showroom Management

· Welcome clients and assist them in the showroom with product and finish selections.

· Maintain an organized, clean, and visually appealing showroom with up-to-date samples, catalogues, and displays.

· Prepare finish boards and sample sets for client meetings.

· Ensure all materials are correctly labeled and available for viewing.

· Coordinate sample loans, returns, and new sample orders.

2. Order Processing & Supplier Coordination

· Prepare and issue purchase orders for hardware, fittings, and finishes.

· Liaise directly with suppliers for pricing, availability, and lead times.

· Track and confirm orders to ensure timely delivery for production.

· Record and file supplier quotes, order confirmations, and invoices.

· Follow up on backorders and coordinate replacements where needed.

3. Project Administration & Support

· Maintain project folders and update production and client files.

· Assist in compiling project documentation such as hardware lists, specification sheets, and installation schedules.

· Monitor stock levels of key showroom and hardware items and update reorder lists.

· Support communication between clients, designers, and the factory team to ensure deadlines are met.

4. Client Aftercare & Communication

· Follow up with clients during and after installation to ensure satisfaction.

· Handle minor client queries and direct technical or complex requests to the designer.

· Manage client appointments and calendar scheduling.

· Assist with preparing project updates and follow-up emails.

5. Showroom Organization & Stock Maintenance

· Manage and track small stock items such as hinges, handles, and paint samples.

· Maintain accurate records of supplier product ranges and update discontinued items.

· Organize product boards, colour samples, and handle displays for client selection.

· Assist in preparing marketing or display updates as needed.

Skills & Competencies

· Excellent communication and interpersonal skills.

· Strong organizational and multitasking abilities.

· Attention to detail and accuracy in all administrative work.

· Confident using Microsoft Excel, Outlook, and project spreadsheets.

· Ability to work independently and manage priorities.

· Calm and professional under pressure.

· Understanding of interior design, joinery, or cabinetry terminology (training provided).

Requirements

· Minimum 2 years' experience in administration, showroom coordination, or client service.

· Experience in supplier coordination, quoting, or design industry preferred.

· Computer proficiency – Microsoft Office Suite essential.

· Valid driver's license and own transport an advantage.

· Professional appearance and client-focused attitude.

Working Hours & Salary

· Hours: Monday to Friday, 8:30 am – 4:30 pm – every second Saturday

· Location: Showroom & Factory on occasions.

· Salary Range: Competitive, based on experience and skills.
