Dis-Chem Oncology is a specialised division of the Dis-Chem Group, focused on delivering expert pharmaceutical care to cancer patients across South Africa. We work closely with healthcare providers to ensure safe, personalised access to oncology treatments, supported by efficient service and patient education. Responsibilities
1. IT and Systems Administration:
- Log and follow up on all IT-related calls for the business until resolution.
- Maintain an updated record of open and closed IT issues and escalate where necessary.
2. Equipment and Maintenance Coordination:
- Coordinate maintenance and callouts for operational equipment such as Bio-Safety Cabinets, fridges, and other technical assets.
- Ensure service providers are contacted timeously and that maintenance schedules are adhered to.
- Issue and track service orders once approval has been obtained.
3. Reporting and Statistics:
- Compile and maintain monthly business statistics (e.g., staff statistics, Schedule 5 register reports, etc.).
- Prepare offsite stock take sheets for all practices and ensure accuracy of information.
4. Asset Management:
- Capture and maintain asset information and asset tags on the 3DAM asset management program.
- Ensure new and existing assets are accurately recorded, labelled, and tracked in the system.
5. Staff Requests and Coordination:
- Manage and track feedback for staff requests such as conference attendance, practice sign boards, or other operational requirements.
- Ensure communication and follow-up with relevant stakeholders until requests are finalized.
6. Vehicle Administration:
- Schedule and monitor vehicle servicing to ensure all company vehicles are serviced on time.
- Conduct follow-ups on vehicle registration renewals and ensure documents are received and filed.
Qualifications
- Grade 12 / Matric (required).
- Diploma or Certificate in Office Administration, Business Management, or related field (advantageous).
- Minimum 2 years' administrative experience, preferably in an operational or technical support environment.
Required Skills
- Strong organizational and administrative skills.
- Excellent attention to detail and time management.
- Effective communication and follow-up skills.
- Ability to coordinate multiple tasks and priorities efficiently.
- Proficiency in MS Office (Excel, Word, Outlook).
- Knowledge of asset management systems (e.g., 3DAM) advantageous.
- Strong problem-solving and coordination abilities.
