The incumbent is responsible for providing the business with high quality administration support of answering calls, transferring them and taking messages. The incumbent must provide prompt and professional service and always maintain good communication.
Reception Opening Time
- Adherence to Opening & Closing Times.
- Must be able to open the board on their own at least 15 minutes prior to opening time.
- Ability to handling Docex.
Messages
- Ensure that all messages are e-mailed out immediately.
- Make sure that all messages are accurate and include Client name, Company Name and Telephone number.
Answering of Calls
- Ensure that calls are answered within 3 rings and put through to the correct person 1st time.
- Must direct calls accurately.
Client Satisfaction and Relationship
- Ability to handle irate clients.
- Listen and interpret clients needs.
- Always answer the phone and greet clients with a smile in the voice.
- Acquiring and maintaining client relationships at all levels.
- Display a High service level / High performance culture.
Office Administration
- Perform general office administration.
Operators
- Minimum of two operators on duty at all times.
Staff Knowledge
- Good awareness of all staff movements.
Ad-Hoc
- Assist the team members when necessary.
- Assist and support the manager when required.
Team Player
- Attendance of company meetings and functions.
- Ability to follow directives given by senior management.
- Full understanding and adherence to company policy and procedures.
- Accepting responsibility for your work and that of your colleagues.
EDUCATIONAL REQUIREMENTS
- Matric Qualification.
EXPERIENCE IN YEARS
- 3 Years' experience in a similar role.
