Job Overview:
Key Responsibilities:
1. Bookkeeping and Financial Management:
- Maintain accurate financial records, including invoicing, reconciliations, and expense tracking.
- Prepare job costings and track project budgets.
- Generate regular financial reports for management.
- Manage payroll and ensure compliance with tax regulations.
- Handle supplier and subcontractor payments and accounts.
2. Office Management:
- Ensure the smooth day-to-day running of the office, including ordering supplies and maintaining systems.
- Oversee administrative tasks such as filing, correspondence, and record-keeping.
- Coordinate schedules and logistics for the team.
3. Project Support and Coordination:
- Liaise with teams on the road to provide operational and logístical support.
- Monitor project progress and ensure that all teams have the resources and information they need.
- Assist in planning and scheduling projects to maximize efficiency.
- Maintain clear communication between the office and on-site teams.
4. Compliance and Reporting:
- Ensure compliance with company policies, legal standards, and industry best practices.
- Prepare and present detailed reports on project performance, costs, and timelines.
Qualifications and Experience:
- Proven experience in bookkeeping and office management, ideally within a project-based industry.
- Strong understanding of job costings and financial tracking for multiple projects.
- Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills, with the ability to work effectively with remote teams.
- A problem-solver with the ability to adapt to changing priorities and deadlines.
Desirable Skills:
- Experience in the construction, project management, or related industries.
- Knowledge of local tax regulations and compliance requirements.
- Ability to work independently and as part of a team.
