**Job Title**: Environmental Sciences or IT Web Application Intern **Department**: Transformation and advocacy **Reports To**: Enterprise Development Manager **Location**: Office, Durbanville, Cape Town **Contract Type**: Internship for 1 year Job Summary Our client, in the waste management and recycling sector, based in the northern suburbs is looking for an Environmental Sciences or IT Web Application to act as the Packa-Ching Project Coordinator Intern and will play a critical role in coordinating and updating our master database, ensuring accurate data management, compliance tracking, and operational support for the Packa-Ching mobiletrailers. You will work closely with the Training Operations and Sustainability Coordinator to coordinate day-to-day data capture, report preparation, and assist with various administrative tasks. This internship provides hands-on experience in operations coordination and sustainability efforts. Key Responsibilities **Master Database Coordination** Data Verification - Verify personal information, contracts (start/end dates), sponsors aligned to trailers, and sponsorship details. Maintaindetailed records of trailer unit numbers, contract links, and approval documents. Sponsorship Coordination - Coordinate and update sponsor information, including sponsorship start and end dates. Daily Volume Capture - Coordinate the capture of daily weigh pay reports into the master database to ensure accurate tracking of weigh pay system volumes. Compliance Coordination - Verify the licensing and registration details for vehicles and trailers, track registration and license renewal dates, and ensure legal compliance by adding warning labels to trailers approaching five years of use. Reporting - Prepare monthly consolidation reports by the 30th/31st of each month for Accounts, ensuring proper labelling and storage of each task’s data. Weigh Pay Training & Troubleshooting - Assist in weigh pay training support and provide troubleshooting coordination as needed. Tablet Allocation - Coordinate and document the allocation of weigh pay tablets, including serial numbers, tablet IDs, and IMEI numbers. Salaries & Fuel Claims - Collate fuel and salary slips into Excel by the 25th of each month, ensuring all information is complete and accurate, and coordinate employee contracts and payment records. ITrack Reporting - Coordinate ITrack contracts, including start and end dates, and save monthly reports generated from the iTrack system. Auditing Support - Assist in providing data for audits by ensuring all documents, such as audit folders and employee records, are accurate and up to date. Loan vs. Grant Tracking - Track and coordinate whether trailer recipients are loan or grant recipients, maintaining financial records for both categories. Marketing/Events: - Assist in coordinating project events and managing event-related administration. - Coordinate procurement of marketing materials. - Help organise events, schedule meetings, and arrange travel logistics. - Participate in manual labour activities where necessary for events. Competencies: - Basic project management skills. - Strong attention to detail. - Excellent written and verbal communication skills. - Proficient in Microsoft Office (Excel, Word, PowerPoint). - Ability to multitask and manage time effectively. - Strong interpersonal skills, with an ability to manage supplier relationships. - Proactive and deadline oriented. - Professional demeanour, with a "can-do" attitude. - Ability to work with focus in a fast-paced environment. Qualifications: - Tertiary qualification Environmental Sciences, IT (Web Application) or a related field. - Previous administrative experience (1-2 years is beneficial). - Proficiency in Microsoft Office is essential. Excel Skills required. - Knowledge of data management. - Valid driver’s license and reliable transport beneficial. - Proficiency in African languages is an advantage. - Willingness to undergo competency-based testing.
