This Team Support Assistant will support the SEM Finance and Actuarial Executives and their teams by effectively and efficiently managing office and administrative related tasks. These tasks include but are not limited to (1) managing and coordinating schedules and travelling, (2) assist with the preparation of reports and presentations, (3) coordinating payments and related activities and processes and (4) managing internal and external stakeholder and partner relationships. This role will require an energetic, digital savvy, self-motivated individual with a can-do-attitude who is passionate about driving results, team collaboration and success. What will make you successful in this role?
- Manage diaries, scheduling of meetings, video conferences, special events, information sessions etc.
- Document preparation and distribution to all stakeholders (meeting agendas, board packs, minutes of meetings etc.)
- Preparation of reports and presentations
- Communication and liaison with relevant internal and external stakeholders
- Preparing for and receiving external clients and stakeholders at office (as and when required)
- Managing payments and the related financial processes
- Office management
- Supporting the finance and actuarial teams in administrative processes Qualification and Experience
- A relevant tertiary qualification
- 3-5 years related office administration experience
- Experience supporting multiple executives and senior managers
- Experience in arranging local and international travel arrangements
Knowledge and Skills
- Business communication methods and processes
- Ability to sensitively manage organisational impact (red tape, protocol etc.)
- Business knowledge and understanding of how organisational structures and processes work
- Excellent Microsoft Office skills (Word, Excel & Power Point, Teams, SharePoint etc.)
- Must be digital savvy
- Ability to manage various stakeholder and partner queries and related support
- Sound knowledge of etiquette that is followed or prescribed in a social and/or professional setting on an executive and senior management level.
- Ability to understand and speak French will be advantageous
- Support finance processes
