- Area of responsibility 1: Order Processing
- Main activities_
- Provide excellent customer service by delivering quick and accurate responses to customer orders, queries and complaints.
- Ownership of all aspects regarding orders (local and export), credits, and free material requests.
Expected results- Accurate processing of all sales orders received to ensure on time in full (OTIF) deliveries aligned with set CS standards.-
- No more than 50 process errors per year-
- Ownership of the customer lists assigned to each but also to assist fellow order clerks Customer Service Officers when needed.-
- Update /Implement new pricing and specials (as per timeous communication) accurately as required onto the Movex System.-
- Ensure back order reports are monitored, and follow up with customers when products are released to determine if delayed orders must be honored - to be done for any orders outstanding for 30 days or more.-
- Track and trace queries within 48 hours received regarding orders dispatched from the warehouse / courier company.-
- To provide documents requested by customers, i.e. copies of invoices / credit notes / waybill etc. within 48 hours of receiving the request.-
- Timeous reporting (5th of every month) as needed and specified by customers and Virbac management, i.e. client outstanding products reports, FMR monthly reports, etc.-
- Coordinate logistics within 48 hours for export orders and permits received to ensure timeous delivery to export countries.- Area of responsibility 2: Management of Credit Claims
- Main activities_
- Accurate response and closing of Credit claims
- Expected results- Tending to customer queries and complaints - giving accurate feedback to the Creditor Clerk within 48 hours.-
- Assist processing of credits received from customers timeously and efficiently (within 48 hours).-
- To assist or as instructed by Management in the absence of the Creditor Clerk to attend to the above duties as per above criteria.Requirements (Diploma and experience)- Grade 12-
