**Tender Buyer**

**Title/Position**
Tender Buyer (Mechanical and Electrical services)
**Position Objective**
The Buyer research’s, evaluates and purchases services, supplies and equipment based on price, service, and quality. The buyer would need to negotiate with various suppliers on best possible price but keeping in mind the service and quality.

**Roles and Responsibilities**:

- Receive tender documents from Bid department, prepare and check sub-contractors/supplier’s enquiry letters incorporating key contract terms and conditions together with the relevant sub-contractors/suppliers’ packages, specifications, and drawings where applicable.
- Assist with the splitting of the bill/s of quantities when required.
- Send out tender enquires to sub-contractors/suppliers ensuring enough coverage, and at least three quotations per trade, to enhance the competitiveness of the company’s pricing on all tenders.
- Follow up on all tender enquires sent to ensure that quotations are received on time including all documentation referred to in the tender cover letter.
- Receive quotations, analyse the same and where applicable go back to the sub-contractors and suppliers to get understanding and additional information and where needed query incomplete quotations and pricing.
- Capture all quotations and data received back from sub-contractors and suppliers in CCS trade adjudicators completely and in line with the CCS adjudicators format.
- Prepare quotations files and timeously handover to the estimator.
- Attend to queries raised by estimators before and after tender finalisation to meet tender submission deadlines.
- Store copies of all quotations received, hard and electronic copies on SharePoint, in accordance with the company policies and procedures.
- Keep current data base of sub-contractors and suppliers for each province/Metropolitan up to date ensuring proper and effective procurement opportunities.
- Attend to queries raised by the estimator post tender submission.
- Prepare quotation portion of tender handover documents on successful tenders.
- Receive feedback from sites on successful tenders and where applicable incorporate in “lesson learnt register”.

**_General:_**:

- Filing, photocopying, monitoring, and controlling stationery stock levels.
- Provide relevant work-related clerical and administrative support as needed by the company.
- To carry out related research activities such as gathering information on existing and new procurement opportunities with sub-contractors and suppliers in existing and new areas the company may want to secure work in.
- Market the company to new potential sub-contractors and suppliers.
- Assist with maintenance of a central project document control system, covering project team, client, vendor and third party documentation as well as preparing documentation for tendering purposes.

**Requirements, Skills and Knowledge**:

- Minimum 5 years construction experience
- Driver’s license
- Own vehicle
- Previous tender buying experience preferred
- Ability to work well under pressure
- Previous experience of working within an electrical industry
- Strong negotiation skills
- Excellent communication skills
- Deadline driven
- Basic knowledge of Candy software
- Sound knowledge of Microsoft Office
- Technical understanding of construction process for electrical & mechanical + ability to understand technical drawings.
- Ability to interpret tender documentation & requirements for submission of tenders.
- Time management.
- Ability to work extended/flexible hours.
- Ability to negotiate discounted pricing.
- Maintain good relationships with suppliers & subcontractors.
- Attention to fine details & specifications.
- Ability to read & assess quotations.
- Ability to work without supervision when required.
- Ability to think 'out the box' when researching new suppliers and new geographical areas.
