JOB DESCRIPTION OF AN AREA MANAGER
Reporting to Regional Manager
1. Purpose of Job
1.1 To be responsible for a profitable and professional cleaning service in a geographic area and to ensure client satisfaction/business retention whilst upholding the company policies and procedures.
2. Operational Standards
2.1 To promptly attend to daily messages and complaints.
2.2 To ensure constant customer satisfaction and good client contact.
2.3 To regularly visit and inspect that the standard of work of employees at contracts is of the highest standard as per the contract specification.
2.4 To ensure that each contract, per cleaner, is using written job/task schedules, to provide a satisfactory cost effective service.
Improvements using these job schedules is to be continually sought.
2.5 To ensure that the company image is maintained and that Company uniform is worn at all times by staff.
3. Operational Resources
3.1 To ensure that attendance registers are marked daily at the beginning of the shift, ensuring labour allocation is correct and any changes on the attendance sheet initialed.
3.2 To ensure that the Company’s annual leave schedule which details at any one time any cleaner’s leave in the next 12 (twelve) month period is kept up to date at all times. At the employment date of each cleaner, team leaders/contract managers or supervisor, the leave schedule is to be completed showing the individual’s leave date 12 (twelve) months hence.
3.3 To ensure head counts are carried out at each contract, once every 3 (three) months, and to endorse the attendance register to that effect.
3.4 To ensure adequate control over all equipment in accordance with fixed asset policies and procedures. To be totally responsible for all the Company’s vehicles, machinery and equipment in one’s area by way of signing the Company’s assets schedule detailing the said equipment.
3.5 To be responsible for 6 (six) monthly written stock take of all equipment
3.6 To be responsible for the making up of stores orders ensuring that each order reflects the total cost compared to contract budget. The contract budget is not to be exceeded without the respective Regional Manager’s authority.
3.7 To ensure that stores orders are authorized by the Regional Manager and submitted timeously to the Stores Department.
3.8 To ensure that the motor vehicle policy and procedures of the Company is adhered to at all times, ensuring that fuel budgets are maintained.
3.9 To ensure that the top copies of communication books are submitted to the Regional Manager.
4. Industrial Relations
4.1 To be responsible for maintaining discipline by using the Company’s disciplinary code and procedures, as well as attending to grievances.
4.2 To ensure that staff are informed of changes that affect them with regard to Company policies.
4.3 Preparation of contingency plan for strikes and stay-aways.
4.4 Appraising staff by way of verbal direction and performance appraisal for supervisory level and above.
4.5 Adherence to Company policy and procedure (retrenchment, promotion, etc.)
5. Client Contact
5.1 To carry out regular inspections.
5.2 To be responsible for the prompt attention to the communications book procedure.
5.3 To attend certain regular meetings with clients. Where these meetings need to be minuted, this to be done and copies of the minutes distributed. All problems to receive prompt action. Call rosters to be submitted to management.
5.4 To maintain a high profile with all major clients. The policy of taking minutes at the monthly meetings of these major clients is to be strictly adhered to.
5.5 When required, being involved with the entertainment of clients.
6. Training
6.1 To be responsible for the on-going training and development needs to all staff under the Area Manager’s control.
6.2 Identifying areas where training and development is needed and bringing to attention of superior.
7. Personnel
7.1 To ensure that attendance registers are submitted monthly to the Regional Managers for authorization and submitted to the wage department by 12:00 noon on Thursday of the closing week. The frequency of the submission of the attendance register may alter at any time and this new frequency must then be followed.
7.2 No exceeding of labour budget to take place without the Regional Manager’s authority and the necessary variation instruction raised.
7.3 To be responsible for all engagements, pay rate changes, dismissals, authorized by the Regional Manager, and ensuring that the necessary documents are completed.
7.4 Identifying of quality staff for promotion from within.
7.5 To be responsible for merit award where necessary.
