Workshop Administrator

A talent pool vacancy currently exists at Usangu Logistics. We are looking for administrator, to record all maintenance works carried out by the workshop.
The position is available at the company premises, located in President Park (Midrand)
The responsibilities for this position are:
1. _**Breakdown expenditure**_ - Capturing and recording all expenditure of workshop for all vehicles on breakdown. Physical copies of all records are to filed away as well.
2. _**Daily overtime**_ - All overtime worked by employees that fall under workshop and accessories are to be captured from the relevant overtime book onto the spreadsheet allocated for this. This is to be done within 24 hours after overtime has been worked.
3. _**Truck downtime**_ - All time fleet vehicles spend under repairs by workshop or outsourced mechanics, are to be recorded onto relevant spreadsheet.
4. _**Job card register**_ - All works done by workshop staff is to be recorded onto relevant spreadsheet, on a daily basis.
5. _**Scrapyard**_- All parts used from fleet vehicles in the company scrapyard is to be recorded in the relevant spreadsheet.
6. _**Speed limit**_ - All speed limits set by the auto electrician is to be recorded on the spreadsheet provided and any changes to the speed limit should be updated.
7. _**Issuing tools**_ - All tools used by workshop staff are to be recorded in the book provided and captured onto the relevant spreadsheet. All workshop staff are required to sign for each tool and it is the responsibility of the workshop clerk to ensure all issued tools are returned to the store, in the condition that they were issued.
8. _**Truck /Trailer Master list**_- A digital record is to be kept for all trailer assets used by the company regardless of they are currently used or scrapped. This is to be captured on the spreadsheet provided.
9. _**Fleet planning board**_ - A digital record is to be kept of all maintenance done by workshop on fleet vehicles and a maintenance plan is to be entered for the next service of each vehicle. The exact date of the next service should be estimated within reasonable timeframes and should be updated when the maintenance is done.
10. _**Payment requisitions**_- All payments to be made for workshop and accessories are to be recorded in the requisition books provided and should be signed off by the relevant HOD. In the absence of the HOD, all requisitions should be kept safely until the HOD is present or signed off by the next relevant HOD.
11. _**Workshop release note**_ - The workshop clerk is to verify the progress of all works done by mechanics and will be required to sign that the fleet vehicle is ready for dispatch.
12. **Store tools inventory** - The employee shall be required to keep recorded of all tools currently within the stores.
13. _**Cabin inspection**_ - The employee shall be required to conduct a physical inspection of the interior of each fleet vehicle and record the condition.
14. Update all service history for both trucks and trailer.
- Be computer literate, especially in MS word and Excel
- Be a great communicator and willing to follow up on drivers
- Have great filing capabilities
- Previous admin experience will be advantageous
- Be physically fit and willing to get their hands dirty
- Be able to withstand a lot of pressure
- Willing to work overtime, often on short notice
- Reside within a 5km radius of President Park
- Logistics experience will be advantageous
- Be an SA citizen and have a valid working permit (if foreign)
**Job Type**: Temp to perm
Contract length: 3 months
Pay: Up to R5 500,00 per month
