**About the Role**:
The Sales Support Administrator is responsible for managing the administration of client accounts, providing support to the National Head of Utility Services as well as assist and manage interactions relating to customer service and project administration.

The role is also responsible for the administrative process of obtaining pricing and product information, the preparation of purchase orders, shipping documents and packing lists for shipments into Africa.

**Key responsibilities**:

- General office administration
- Prepare Quotes, Sales Orders and Requisitions
- Follow up on quotes, sales orders, and back orders
- Manage customer requirements
- Communicating with clients to understand and meet their needs both electronically and via telephonic communication
- Maintain high customer satisfaction
- Provide exemplary customer service
- Regular updates to customers on order status and or ETA's
- Source stock, price quotations and prepare purchase orders
- Establish and maintain long term professional relationships with suppliers
- Follow up with suppliers on outstanding orders
- Preparing stock for container loading and shipments into Africa
- Oversee container loading
- Preparing of shipping documents such as Commercial Invoices and Packing Lists
- Project management administrative duties
- Regular updating of project progress using Gantt Charts

**Qualifications, Skills & Experience**

**Required**:

- Matric/NQF4 equivalent certificate **essential**:

- Relevant Procurement/Export Qualification advantageous
- 2-3 yrs experience in procurement/logistics exports within a warehousing environment **essential**:

- Excellent customer service experience and knowledge
- Good knowledge and understanding of the principles of imports/exports, accounting procedures and purchasing processes
- Experience in Windows-based ERP system
- Good Excel knowledge and experience using Gantt charts

**Key personal attributes**:

- Computer literacy - highly Computer literate and comfortable with basic technical aspects of common operating systems with Microsoft Office general excellence
- Competent Professional business written and verbal communications skills. The ability to express yourself clearly and effectively within the company.
- An ability to provide excellent customer service - Service focus by responding to internal customers' needs by doing it right the first time.
- Excellent time management, organizational, and follow-through skills.
- Disciplined Approach by being Punctual, Strong Attendance Record, getting back to customers, suppliers, and internal staff, and returning calls.
- Attention to detail while maintaining the ability to see the implications for the bigger picture
- An ability to respond quickly and accurately to requests
- A creative outlook with a problem-solving attitude.
