The Pepperclub Hotel seeks a skilled & experienced Reservations Agent to liaise with all clients, ascertaining their requirements and co-ordinating these needs to ensure the successful execution of functions and conferences in a timely manner in accordance with the set standard of hotel. If you meet the criteria below, then we would like to hear from you
**JOB SPECIFICATIONS**:
- Preferable Grade 12 or Diploma in Hotel Management would be advantageous
- Must have at least 2 years experience in a reservations position or 2 years experience in a
- Front office position in a 5* hotel.
- Must be experienced in **FIT, Groups and Banqueting**:
- Excellent telephone etiquette and verbal communication skills
- Excellent command of the English language Solid English verbal and written communication skills
- Able to work occasional weekends and holidays
- Strong organisational skills and a high level of attention to detail.
- Operator level of Property Management System - experienced in Opera /Hotel & Catering
- Computer literate with working knowledge of Microsoft Office Outlook, Word and Excel Experience
- Identify event trends based on market trends
- Ability to work without supervision.
- Able to work occasional weekends and holidays
**JOB DESCRIPTION**:
- Maintain a high level of product and service knowledge about PCH
- To ensure that guests receive an exceptional guest experience that goes beyond their expectations
- Answer reservations calls in a pleasant and courteous manner, in accordance to LQA standards
- Up-selling, by informing guests of special packages, or higher room category, hotel outlets and suggesting selling techniques.
- To ensure harmonious relationships exist with other departments by maintaining clear and prompt communication between all parties.
- To ensure that reservations are made and updated accurately, efficiently and comprehensively in accordance with the Hotel’s standards
- Ensuring that all profile notes and trace reports are updated correctly.
- Ensure accurate records about guests’ bookings, payments, and any additional information that hotel staff might need when interacting with a guest
- Assist & maintain an efficient administration system within the department
- Prepare arrival/guest correspondence (check-in) packs for Front Office on a daily basis at least 14 days out.
- Ability to insert and manage blocks as well as do daily Follow up’s on Group and conference enquiries on a regular basis in order to ensure maximum revenue.
- To ensure that all Block bookings are made and updated accurately, efficiently and comprehensively in accordance with the Hotel standards
- Preparing function sheets and ensuring it gets sent out to Operations timeously.
- Responsible for sending quotations for potential business in a timely manner, follow up on sent quotations ,sending out contracts and finalising payments.
- Liaise with departments to ensure that we can deliver the requirements for a guest before agreement is in place.
- Attend weekly function sheet meeting and Block enquiry meetings
- Meet and greet clients on arrival, check in during break times and follow up after conference when necessary.
- Responsible for hosting site inspections when necessary.
