Golf Club Administrator and Golf Coordinator

A well-known hotel and golf course in Phalaborwa is seeking the services of a Golf Club Administrator and Golf Coordinator. The 18-hole Bob Grimsdell designed Par 72 Championship course was previously one of South Africa's most prestigious courses and a major attraction due to its location adjacent to the Kruger National Park.

**PURPOSE**:
The Golf Club Administrator and Golf Coordinator is a dynamic role that combines administrative excellence with a passion for delivering exceptional golfing experiences.

This individual will oversee the day-to-day administrative operations of the golf club, manage bookings and events, and act as the primary liaison between members, guests, and the club’s management.

The position requires strong organizational, customer service, and communication skills to ensure the smooth operation of the golf club and the success of its events.

**RESPONSIBILITIES**:
**1. Administrative Duties**
- Manage the golf club’s daily operations, including office administration, correspondence, and staff record-keeping.
- Maintain accurate member and guest databases, ensuring all information is up to date.
- Handle financial transactions, such as membership renewals, tee time payments, and event fees.
- Generate reports on club activities, revenue, and member engagement for the management team.
- Reconcile all staff hours and time sheets for all departments, inc. checking rosters, allocating tips, controlling overtime.

**2. Financial Assistance**:

- Assist with the preparation of monthly financial reports, budgets, and forecasts.
- Handle invoicing and billing, ensuring accuracy and timely processing.
- Ensure all stock related invoices are correctly and accurately GRV’d and correctly reflected on club operating system.
- Support with tracking and processing member payments and dues.
- Maintain financial records and assist in reconciliation of accounts.
- Support the preparation of financial documents for audits.
- Accurately input financial data into accounting software.
- Maintain and update financial databases and systems.
- Ensure all records are organized, accessible, and stored in accordance with club policies.
- Address member queries related to their accounts and payments.
- Assist with the processing of new member registrations and payments.
- Support the preparation of membership renewals and follow-up communications.

**3. Member and Guest Relations**
- Serve as the first point of contact for members and guests, providing outstanding customer service.
- Address member and guest feedback, concerns, and requests in a timely and professional manner.

**4. Golf Operations Coordination**
- Oversee and manage tee time bookings, ensuring a smooth and efficient scheduling process.
- Coordinate golf tournaments, events, and outings, working with the greenkeeping team and catering staff to deliver successful events.
- Maintain an up-to-date calendar of events and communicate schedules to staff, members and guests.
- Ensure compliance with club policies and guidelines during all golf operations and events.

**5. Marketing and Communication**
- Assist with marketing initiatives, including newsletters, social media updates, and promotional campaigns.
- Keep members informed about upcoming events, course conditions, and club news.
- Work with the management team to attract new members and guests through creative outreach.

**6. Facility and Equipment Oversight**
- Collaborate with the Head of Golf and grounds staff to ensure the golf course and facilities are well-maintained and meet member expectations.
- Monitor the inventory of golf equipment, merchandise, and supplies, coordinating with vendors as needed.

**Qualifications & Experience**:

- Proven experience in administrative roles, preferably in a hospitality, golf, or sports environment.
- Strong knowledge of financial principles and office management procedures.
- Excellent verbal and written communication skills.
- Proficiency in office software, including Microsoft Office Suite and booking systems (e.g., Clubmaster).
- Knowledge of golf operations, etiquette, and terminology is a strong advantage.

Pay: Up to R12 000,00 per month

License/Certification:
