People Support Administrator

The role of the People Support Administrator is to provide professional, efficient, accurate and effective administration support to the People Support team and the business. The PS Administrator is responsible for administering all employee administrative information and activities on time and accurately by capturing employee information on the PS systems; maintaining trackers and folders; creating and maintaining employee filing system and assisting with PS project related work
**Key Responsibilities**
1. PS Support & Administration
- Create, files and maintain all relevant employee documents on the electronic filing systems once captured on SAGE 300 People.
- Prepares confirmation of employment letters upon request.
- Complete maternity contracts with employees before their maternity leave commences.
- Complete UI19 and UI2.7 forms (terminations & maternity leave).
- Assists employees with completing all benefit forms and ensure accurate completion in conjunction with employee for processing (pension fund, group life and medical insurance/aid) at the commencement and termination (where applicable) of an employee’s service.
- Administration of group risk benefit claims.
- Administration of appointment process, including offer letters and employment contracts.
- Assists with the recruitment process when required (i.e. screening, verification checks, preparing interview packs, book psychometric assessments etc.)
- Assist with language assessment requests.
- Prepares and tracks all PS Invoices monthly.
- Assists with SAGE & JIRA Queries e.g. Team changes, etc.
2. PS Information & Reporting
- Improvement documents, Maternity Leave, Promotions, Transfers, Team Changes, Terminations, New Appointments.
- Pull various reports as and when required.
- Prepares the PS monthly information update for the operations monthly awards and obtain all relevant PS updates for approval by PS Manager.
3. Onboarding & Exit Procedure
- Creates new employee profile on SAGE 300 People.
- Ensures that paperwork of the new starters is completed in full and submitted to payroll for processing.
- Completes Onboarding stats (including graph) for month 1 and 3.
- Prepares and submit the probation pass letter of new starters to the respective PS Practitioner.
- Ensures that all termination documents are completed in full & submitted to payroll (resignation letter; termination form) for processing.
- Ensures exit interview questionnaires are completed online.
- Schedules Exit Interview with employees’ and conducts telephonic exit interviews when the online questionnaire cannot be completed before termination date.
- Follow up with Alexander Forbes Withdrawal Forms.
4. Employee Relations (IR)
- Prepares monthly disciplinary report.
- Assists with preparing disciplinary enquiries packs.
- Capture all disciplinary sanctions on Sage and file on Papertrail.
5. Employee Wellness
- Plan, co-ordinate and assist with all Wellness initiatives.
- Provide support, guidance, and assistance to all employees on the EWP.
- Manage the booking process for the Wellness Clinic and Onsite Counsellor.
6. Employee Engagement and Wellness
- Completes and prepares all the Long Service certificates and vouchers sign off on a monthly basis.
- Communicates Long Service to respective departments on a monthly basis.
- Prepares GEM and Team Award Certificates.
- Issues and distributes WOW cards on a weekly basis.
- Issues birthday cards on a monthly basis.

**Qualifications and Experience**
- National Diploma or Bachelor’s Degree in Human Resources Management
- Minimum 2 years’ experience as a PS Administrator in an organisation with 50+ employees.
- Experience within the Contact Centre Industry will be advantageous.
- Experience with SAGE People 300 will be advantageous.
