The position will be based in Stellenbosch (Hybrid role) and report to the Head of Digital Innovation.
**PURPOSE OF THE ROLE**: The Systems Program Manager will be responsible for project management and oversight of the implementation of the National System Strategy.
**Key Performance Areas would include, but are not limited to**:
**Operational management**
- Implementing policies, planning, and strategy decisions as defined by the national systems strategy.
- Developing, implementing, and reviewing operational policies and procedures in line with sign off procedures.
- Assisting and overseeing the planning and execution of short
- and long-term departmental goals and objectives.
- Identifying and addressing challenges and opportunities for the department.
- Ensure that all non-day to day challenges, issues or tasks are acknowledged and addressed.
- Coordinating priorities for team members in the department.
- Providing administrative support to head of department
- Support, motivate team performance and give feedback to the team.
- Lives and promotes the Herotel values and culture.
- Effective and efficiently onboard new systems team members (buddy system).
- Establish programs and create processes under they guidance from head of department.
**Project management**
- Ensuring project deadlines are met.
- Adapting project plans to changes in requirements and scope.
- Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
- Identifying and assessing project risks and issues and provide solutions where applicable.
- Ensuring stakeholder views are managed towards the best solution.
- Maintaining a project management calendar for fulfilling goals and objectives.
- Developing project strategies, maintaining, and monitoring project plans, project schedules, budgets and expenditures.
- Facilitate cross functional projects and/or programs.
- Assist various teams with a diverse array of talents, skills and responsibilities.
**Reporting and administration**
- Assisting with feedback and reporting of departmental goals and objectives.
- Where applicable, assist in the performance management, and training and improvement programs execution for the department.
- Organising, attending and participating in stakeholder meetings.
- Documenting and following up on important actions and decisions from meetings.
- Preparing necessary presentation materials for meetings, workshops or other events.
- Weekly/Monthly cost analysis and updates.
- Develop and improve an evaluation method to assess the quality of projects/programs, systems and processes, identifying strengths, risks and weaknesses in order to improve.
- Continuously assess the progress of programs/projects.
- Utilise the knowledge obtained from projects, programs, systems and processes to identify any unnecessary duplication of work and to set the best course of action to remedy it if necessary.
- Ensure that all required Herotel departments are informed of all relevant SOPs and while continuously monitoring through projects, programs, systems and processes, that team members comply with the SOPs.
- Progress toward achieving tactical goals.
- Progress of projects/programs.
- Compliance/Quality and efficiency levels at which projects/programs are executed.
- Efficiency and effectives of processes Risks and/or challenges identified.
- Collate monthly performance reports according to MOS/other KPIs.
- Communicate and report verbally and in writing to other team members and management.
- Produce monthly reports of activities.
- At least 4 years of demonstratable experience in project management.
- At least 2 years of experience in systems rollout and implementation.
- Experience in administering SharePoint, MS Office 365 and ticket management tools would be an advantage.
- Ability to build consensus and relationships among teams, stakeholders and peers.
- Excellent communication and presentation skills.
- Ability to work effectively both independently and as part of a team.
- Ability to work on tight deadlines.
- Strong detailed oriented approach to task execution.
- Ability to collaborate with the wide range of individuals involved in project management.
- Able to prioritise tasks according to their importance / urgency.
- Should be able to reason analytically when trying to identify weaknesses, risks and challenges, while also being creative in finding innovative solutions.
- Should be able to track these remedial actions efficiently.
- Should be able to plan, track, and report on outputs and outcomes.
- Should be able to identify and manage cross-project interdependencies and should be able to consult.
- Must have experience with regards to the relevant planning methodologies, tools and software. i.e Smartsheet/J
