**PART 1 - Job description**
**SUMMARY**
The finance and governance officer will own and action the finance and governance tasks of the African Impact Foundation. The role is to ensure good financial management practices, the ability to tell the story of financial and governance health and guide the team on financial processes for a small non-profit.
- Financial tracking of income and expenditure (restricted and unrestricted) across 3 registered countries.
- Reporting statutory accounts, management and cash reporting, and board reports.
- Banking, payments and transfers in 3 currencies and countries.
- Complete the finance system (Xero) implementation to replace excel and prepare users and processes for the transition.
- Support the Executive Director in budgeting and forecasting income and expenditure.
- Support the Programme Manager and Team with program budgets and tracking expenditure and cash management.
- Financial analysis of income sources, expenditure and programme costings.
- Create processes and templates for tracking grant and CSR donations.
- Payroll for a small team of 8 people in 3 countries.
- Lead process for annual statements to be completed for each registered entity.
- Lead the creation and updates of policies and governance requirements.
- Lead the process of new registration (e.g. 501c in America) or changes to existing registrations.
- Own relations with key suppliers - IT support, IT platform subscriptions
- Work with UK Board Secretary who is accountable for governance, to ensure our governance is in line with requirements.
- We are looking for a Treasurer on the UK board to assist with our finances and support this role.
- The role will report to the Executive Director.
**DETAILED DESCRIPTION**
**Financial tracking of income and expenditure**
- Work with Impact manager and project teams to track program income and expenditure monthly, training and supporting them on the system they are using
- Track income and expenditure associated with the head office team and core costs
- Collate and track donations from various platforms to enter/import into the cashbook
- Track balances for each fund, program or cost centre, flagging any areas of risk or concern before it becomes an issue.
- Create and track payment of invoices for products income
- Create tax receipts for donors when required.
**Financial reporting**
- Create a monthly management report with commentary, for the executive director/treasurer to share with the board.
- Create project financial health reports and fundraising health reports for the team so they are informed so they can manage their financial area.
- Track cash balances for restricted and unrestricted funds as well as for Program, Fundraising and Governance funds available in each country and as a summary.
- Create cash books, accruals, capital expenses and all information for partner accountants to produce our statutory accounts and tax returns in UK (main reporting body), South Africa and Zambia.
- Support partner accountants with any audits (none required at present).
- Liaise with partner accountants in each country on any questions or to define our reporting needs.
- Create reports for program balances, fundraising analysis and other reports requested e.g. analysis of our sponsorship programme to see how funds are spent and average cost per child’s education.
**Banking and Payments**
- Manage invoices received - seeking approval and making payments to suppliers.
- Manage payroll each month for small team (12 people) - in SA payroll, Zambia team and UK payments.
- Create statements and make payments to countries from UK banks to ensure funds are in the correct country bank account when needed.
- Provide information to banks and Exec Director and Treasurer (Trustee) when required.
**Finance System Implementation**
- Plan and phase in a new financial tracking system to replace our excel based accounting (this has been started).
- Agree on the plan and costs with Exec Director and Treasurer to make the transition smooth and accurate.
- Train team members on using a new system for input and reporting.
- Assist with the integration of the finance system to other new systems e.g. CRM
**Support Team in finance requirements**
- Once settled with a new system, support the Exec Director in producing budgets and forecast and track against them (Exec Director does these at present)
- Assist in creating programme budgets and tracking expenditures, and forecasts grants and CSR large donations.
- Create donation reports for the Management team to analyse sources of income
**Governance**
- Responsible for legalities and ensuring our reporting and registrations are all in line with relevant guidelines and laws.
