**Housekeeping Manager**
**Purpose of the Role & Reporting Line**
The Housekeeping Manager is a member of the **Management Team** and reports directly to the **Retreat Manager.**
The primary focus of this role is to ensure the smooth running of all aspects of the Retreat housekeeping and public area day-to-day, weekly, and monthly duties to provide an exceptional guest experience whilst developing a productive, positive, and purposeful team enlivening the Boschendal values daily.
**KEY DUTIES AND RESPONSIBILITIES INCLUDES BUT ARE NOT LIMITED TO**:
**1. **Complete and perform all staffing requirements to ensure the smooth running of the Housekeeping and Public Areas Department.**
- Complete monthly rosters and scheduling of sub-departments to ensure all areas of the department are covered.
- Perform payroll daily and monthly functions to ensure salaries and time sheets are accurate and correct.
- Allocate annual leave for the department and update annual leave calendar.
- Regularly hold performance reviews and one-on-one discussions with team members.
- Deal with staff requests and issues in a fair and respectful manner.
- Hold regular team meetings to ensure communication is transparent and open between all team members.
- Maximize employee productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.
**2. **Champion a guest focused and service orientated environment through training, coaching, and mentoring of team members.**
- Create and update the Retreat housekeeping and public areas SOPs on a consistent basis.
- Schedule regular training sessions with team members to ensure all standards are clearly understood by all team members.
- Meet and room guests on arrival when required.
- Manage and successfully resolve guest complaints resulting in a positive outcome for both parties (the guest and the company).
- Manage punctuality and appearance of the Retreat employees, making sure that they wear the correct uniform and maintain a highest standard of personal appearance and hygiene.
- Ensure all Code of Conduct processes and requirements are being adhered and followed according to Boschendal disciplinary processes.
- To attend training sessions and meetings as and when required.
**3. **Perform and manage all relevant stock, stock takes, invoicing, and ordering processes through respective internal and third-party suppliers.**
- Proactively manage costs both product cost of sale and Opex based on key performance indicators, operational control systems working with the respective line managers.
- Ensure all weekly and monthly orders are placed in a timely manner and are allocated to the correct sub-department.
- Perform weekly and monthly stock takes as per company requirements.
- Ensure all par level systems and issuing in and out stock procedures are always adhered to.
- Record and manage breakages, write offs and expired stock.
- Perform quality and control checks of guest products and amenities.
- Schedule necessary outside suppliers when and where necessary for special cleaning and pest control projects.
4. **Ensure the cleaning, maintaining, and preparing of cottages and outside areas for accommodation guests is correctly and consistently performed by the respective team members.**
- Inspecting of all arrival cottages as per standard requirements and completing of all cottage arrival checklists.
- Checking and inspecting of all departure cottages and completing of cottage departure checklists.
- Performing spot checks of stayover cleaning services.
- Daily checks of the relevant pool, fireplace, boma areas and public areas of the respective accommodation space to ensure it has been setup as per standard.
- Schedule and perform monthly housekeeping upkeep projects.
- Assist with cleaning and preparing of cottages when and where necessary.
- Assist in supervising and managing all accommodation spaces when required and necessary.
**5. **Reporting, inspecting, and following up of Maintenance and Landscaping issues and concerns.**
- Report, log and follow up on all maintenance issues and concerns in and around the cottages and accommodation spaces.
- Report, log and follow up on all landscaping issues and concerns in and around the cottages and accommodation spaces.
- Perform regular inspections of general maintenance and landscaping upkeep.
- Manage preventative Maintenance plans effectively and regularly
- Manage pest control monthly plan effectively
**6. **Managing, reporting, and dealing with Lost Property, Key Management and Security issues.**
- Ensure all lost property procedures are being always followed.
- Ensure all key system and protocols are being controlled and adhered to and always followed.
- Report immediately on all security concerns.
- Ensure all Health & Safety protocols are being followed and report any health & safety risks to relevant management.
