**Overall Job Purpose**:
- The Postgraduate Coordinator provides administrative and student support for the institution’s postgraduate qualifications. The role facilitates admissions, manages student data and academic records, supports progression reporting, and oversees the HR function for the contracting of postgraduate supervisors. The role ensures efficient day-to-day operational support to the postgraduate research office.
**Supervisor HR Coordination, student support and admission**
- Facilitate the contracting, onboarding, and HR record management for postgraduate research supervisors.
- Provide first-line support to prospective and current postgraduate students. Coordinate admissions tracking and initial communication.
- Collaborates with the Junior HR Officer on the Lecturer appointment process to ensure that the process is streamlined and all audit and policy/process requirements are met prior to any Independent
- Contractor Agreements being issued or work being offered or carried out.
- Provides the Junior HR Officer with the relevant lecturing schedules needed to complete the Independent Contractor Agreements and associated Annexures.
- First level approver for the Lecturer timesheet approval process on the HR & Payroll system.
- Manages and notifies the relevant lecturers of any changes that may affect their designated programmes.
- Ensures that all new Lecturers are invited to attend the semester Induction and Orientation sessions as part of their onboarding process.
**Academic Results Administration**
- Capture and verify postgraduate academic results, dissertation outcomes, and assessment documentation in line with policy.
**Progression Tracking and Reporting**
- Maintain accurate student progression records and generate institutional reports on submission and completion rates.
- Compiles, manages and distributes academic reports as required by the campus Academic faculties.
- Provides academic and administrative support during the campus registration period, including calling for student retention initiatives.
**Committee and Records Support**
- Prepare documentation and support logistics for academic committees.
- Maintain archives of postgraduate correspondence and ethics approvals.
- Attends the Academic department meetings and records minutes at these meetings when required.
- Monitors the lecturer's administrative performance, for example: the timeous submission of timesheets and documentation aligned with audit requirements and company policy.
**Minimum Educational Requirement**:
- NQF Level 6 - Diploma
- NQF Level 7 - Bachelor’s Degree
**Minimum Work Requirement**:
- Academic administration or higher education support 2 Year(s)
- Student data management and admissions experience 2 Year(s)
- Working knowledge of academic records and results processing 2 Year(s)
