**Role and Responsibilities**
Assisting Senior Management by ensuring that the organization’s operations runs smoothly. Performing of administrative and clerical duties. Responsible for arranging of conference calls and meetings. Arranging travel (local and international), visas and accommodation. Composing of correspondence, memos and reports, conducting research and creating of presentations and reports. Screening phone calls, enquiries and requests, and handling them when appropriate. Meeting and greeting visitors at all levels of seniority. Organizing and maintaining diaries and making appointments. Liaising with clients, suppliers and other staff.
- Specific duties include but not limited to; _
- Managing of Senior Managers diaries, arranging meetings for them as and when the need arises,
- Accurate minute taking of Management meetings and Managers meetings to be sent out 48 hours after meetings took place,
- Administration for Senior Managers as and when needed.
**Responsibilities**:
- Accurate minute taking of monthly Management, SHE’Q meetings for the Group of Companies as well for the weekly Managers meeting.
- Managing of Workplace Induction should the new employee fall within one of the departments managed by a Senior Manager.
- Managing of Exit procedure should the terminated employee fall within one of the departments managed by a Senior Manager.
- Accurately checking and capturing payroll of the departments managed by a Senior Manager and send through to HRM by due date given.
- Composing of correspondence, memos and reports, conducting research and creating presentations and reports when needed by Senior Management.
- Overall administration for Senior Managers includes printing, filling, saving documents on the server and capturing of any kind.
- Notifying the Group of Companies if a Senior Manager is on leave, sick leave etc.
- Liaising with clients, suppliers and other staff as and when needed.
- Arranging travel (local and international), visas and accommodation.
- Arranging conference calls and meetings for Senior Managers.
- Pulling and sending out weekly reports as expected and requested from Senior Management.
- Administrative duties within Health and Safety as and when required, i.e checks within the buildings.
**Requirements**:
- Proven work experience as Personal Assistant or similar role.
- Knowledge of organizational effectiveness.
- Familiarity with business principles.
- Excellent communication skills (written and verbal).
- Outstanding organizational skills.
- Diploma in PA / Secretarial / Management Assistant or related field would be beneficial.
- The ability to adapt and drive change within the parameters of ever changing business phenomena.
- Valid driver's license and vehicle.
**Salary**: R14,000.00 - R16,500.00 per month
**Experience**:
- Personal Assistant: 3 years (required)
- Senior/Executive Diary Structure: 3 years (required)
- Administration: 5 years (required)
- Management meetings minute taking: 3 years (required)
- Problem Solving: 3 years (required)
License/Certification:
- Driver's License and Own Vehicle (required)
