Brand Coordinator

**Position Summary**
The purpose of the Brand Coordinator role is to support the Brand Manager/Buyer in the administration of the brand and to provide support and solutions to the Brand team to ensure optimal administrative efficiency. In addition, this role significantly influences the inventory management/stock turn and re-order availability. Therefore, it is also the foundation for reaching sales and inventory targets.
**Essential Duties and Responsibilities**
- **Planning and Strategy**:_
- Implement and execute the seasonal and purchasing strategy for relevant departments and brands.
- Reduce the cost associated with late delivery and OTIF (On-Time In-Full) Capability with the purchasing of all products required for the business.
- Ensure volume alignment between Purchases & Demand by channel.
- Manage the monthly critical path meeting with all relevant queries.
- Load all new Vendors/Suppliers onto system.
- **Demand and Inventory Management**:_
- Review, implementation, and critical path execution of the Demand Planning processes to support strategic initiatives for all sales channels of the business.
- Ensure required inventory levels and demand/supply review to ensure On-Time-In-Full product availability.
- **Purchasing and Order Management**:_
- Ensure accurate fulfillment/purchasing of the selected Range Plan to process effectively for Inbound Product On-Time-In-Full (OTIF).
- Accurately and efficiently complete product purchasing, adhering to calendar timelines/lead times.
- Ensure that purchase orders are initiated in the system with relevant factories according to agreed Service Level Agreements (SLA).
- Track and manage all orders (Principal Purchase Orders - PPO’s) and provide updates on delivery status and potential delivery risks.
- Ensure delays to purchase orders are pro-actively communicated, specifically informing Customer Services of the impact on sales orders.
- Coordinate the upload of purchase orders into the system, track all orders, and monitor due dates and delivery timelines.
- Co ordinate all sample requirements for brand, Salesman Samples (SMS’), Pre Production Samples (PPS’) and Bulk Production Samples (BPS’).
- **Collaboration and Communication**:_
- Work closely with the Brand Manager, Sales, Marketing, Retail and Supply Chain teams to plan and communicate inventory (all product) related movements and status.
- Support and consult Merchandising, Brand, and Sales teams throughout the range creation.
- Work with Shipping teams to ensure inbound shipments are planned maximize order/book fulfillment and market conversion (OTIF at 100% - Inbound).
- Build strong relationship management with international and local suppliers to manage on-time and in-full deliveries of products to customers.
- **Process Optimization and Reporting**:_
- Fully support and optimize existing planning process; Standard Operating Procedures and strive for efficiency in the Purchasing process.
- Create analysis and statistics for Total Inventory and OTIF Reporting.
- Perform monthly supplier reporting in accordance with the agreed Service Level Key Performance Indicators across all Brands as applicable.
- Deliver savings and cost efficiencies to the Business Internal System (Product or Seasonal Master Plan) in conjunction with Brand and Supply Management.
**Education & Experience Requirements**
- Essential : Grade 12 certificate (Matric)
- Essential : A minimum of 2 - 3 years’ experience working in a Branded Apparel and footwear environment performing a similar role.
- Desirable : A relevant 3-year Tertiary Qualification would be an advantage
**Skills and Abilities**
- Computer literacy (MS Office)
- Excellent verbal and written communication
- Meticulous with a strong attention to detail and accuracy
- Time management skills to meet all administrative deadlines
- The agility and resilience to maintain high levels of drive and initiative under pressure.
- Able to build and maintain influential relationships at various levels and across business functions.
- High energy levels, flexibility, and a sense of urgency.
- Knowledge of wholesale/retail environment and admin processes involved
