Job duties:

- Follow up on quotes
- Handle all administration related to sales processes
- Handle enquiries from customers directly and the Engineers
- Request pricing from suppliers, create quote/proformas within SAP System.
- Liaise with relevant engineers regarding pricing etc.
- Mail quotes/proforma to customers, complete SBD documents where required.
- Follow up on payment for pro-forma with CIA customers.
- Request forward cover if required, ensure relevant end user documents are completed and received with customer PO.
- Responsible for processing of purchase orders and all administration related to purchasing function.
- Converting quotes to sales orders and then to purchase orders.
- Mail purchase orders/end users if required to suppliers and update SAP with confirmation dates from suppliers.
- Ensure stock that has arrived or that is in stores is invoiced out timeously.
- Ensure supplier pro-forma invoices are sent to finance for payment and send payment confirmation to suppliers to ensure orders are processed on supplier side.
- Mail order confirmations to customers upon receiving suppliers’ confirmations.
- Purchasing for stock items and E-Shop orders for parts that are non-stocked.
- Arrange collection with couriers for local supplier purchase orders, ensure suppliers receive waybills and ship parts, track parcel until parts are in stores.
- Compile and complete customer back-order reports for open orders and late deliveries.
- Liaise and expedite open orders with suppliers and update SAP with relevant information.
- Request invoices from suppliers and ensure they are using the correct courier service and service type.
- Request tracking details from suppliers if not provided on invoice, track parcels and follow up with logistics on delivery, check with stores when parts are physically in stores.
- Arrange collection with couriers for orders shipping, mail stores when parts are shipping so they don’t waste time looking for stock in stores.
- Keep customers informed and calm when courier does not deliver on time, liaise with courier and revert to customer with feedback.
- Responsible for adding new and updating existing part numbers within the SAP stock system.

**Requirements**:

- Minimum requirement is a matric certificate
- MS Office proficient and big preference for someone that has worked on SAP or a similar ERP system as an alternative
- Minimum 2 years Sales Administration experience largely covering the above responsibilities
- A preference for someone that has sales admin experience with foreign suppliers so has dealt with foreign currency
- Trustworthy, reliable individual that conducts themselves professionally at all times
- Someone that is conscientious and puts great effort in to delivering their best outputs
- Deadline driven
- “Can do” and “go getter” attitude of someone that is always eager to go the extra mile to assist and get the job done efficiently and effectively
- We are looking for someone that will not be afraid to pick up the phone and verbally follow up where needed
- Excellent communication skills and attention to detail
- Excellent numerical abilities in order to process quotations etc.
