About the Role:

We are seeking an exceptional Financial Operations Coordinator to join our team at Buffalo International Logistics. The successful candidate will be responsible for accurately processing and invoicing shipments and services provided by the company.

The primary objective of this role is to ensure timely and precise billing to maintain smooth financial operations and customer satisfaction. This involves generating accurate and timely invoices for Deliveries and Collections, verifying billing information, rates, and supporting documents for completeness and accuracy before invoicing.

In addition to billing and invoicing, this role requires data entry and record-keeping skills. You will enter billing data into the company's billing system or software with attention to detail and accuracy, and maintain organized records of invoices, billing statements, and other relevant documentation.

This position also involves ensuring compliance with company policies, procedures, and regulatory requirements related to billing and invoicing. You will assist in preparing documentation for audits and provide necessary information to auditors as required.

Furthermore, as a Financial Operations Coordinator, you will prepare regular reports on billing activities and recon, analyze billing trends, and recommend process improvements to enhance efficiency and accuracy.

You will also collaborate with colleagues in the finance, operations, and sales departments to facilitate billing processes and resolve billing-related issues.

Lastly, you will investigate and resolve billing discrepancies or disputes in a timely manner to maintain positive customer relationships and financial integrity.

  • Proven experience as a Financial Operations Coordinator, preferably in a logistics or transportation company.
  • Proficiency in MS Office, particularly Excel, and experience with billing software or Sage systems.
  • National diploma/Degree in Finance.
  • Strong attention to detail and accuracy in data entry and billing processes.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong communication skills and the ability to interact professionally with customers and colleagues.
  • Knowledge of billing practices, procedures, and regulations in logistics or similar industries is preferred.
  • High school diploma or equivalent; additional certification in Accounting or related field is a plus.
