Job Summary:

The Academic Administrator position will include administrative support functions in the following areas:

  • Operational Support: Infrastructure maintenance, Health and Safety, Human Resources, Campus Administration, and Campus Quality Assurance.
  • Administrative Support: Providing administrative support to the Campus Operations Manager in the day-to-day business of the campus operations.
  • Academic Administration: Providing academic administration support in the various academic processes.

Duties and Responsibilities:
  1. Student Registration: Assist the Campus Operational Manager with the registration process of students, including:
    1. Collecting all required documentation, i.e., ID documents, qualification certificates, etc.
    2. Capturing registration data on Campus Online.
    3. Uploading the registration documentation onto Campus Online.
  2. Attendance Management: Preparing and distributing attendance registers for staff, capturing staff attendance on attendance records, and updating employee leave records.
  3. Assessment Support: Completing all registration forms, exam bookings, etc., for ICB students in line with approved policy and procedures.
  4. Complaints Management: Coordinating and updating the complaints register and reporting all complaints to the Campus Operational Manager.
  5. Administrative Support: Providing administrative support in the assessment process, including monitoring assessment due dates, processing marksheets, and submitting to the Campus Operational Manager for approval and process implementation.
  6. Communication: Distributing national timetables to campus-based academic staff and students.
  7. Student Support: Assisting with administrative tasks assigned for student support, including invites, attendance registers, and communication to students.
  8. Library Support: Providing administrative support in the library (CHE accredited campuses).
  9. Community Development: Administrative support for all community development projects.
  10. Meeting Management: Minutes taking and meeting management functions, including invites, attendance registers, and agendas.
  11. Management Information: Compiling management information and quality assurance reports on various functions as identified by the Campus Operations Manager.
  12. System Support: Administrative support on various systems.
