Job Description

We are seeking a highly skilled and experienced Personal Assistant to join our team at Bellurbanpace. The successful candidate will provide administrative support to our Financial Planners, ensuring seamless day-to-day operations.

Key Responsibilities:
  • Implement administrative processes and controls in the practice, including transactions, queries, and reporting for client investments.
  • Liaise between Financial Planners and Service Providers to facilitate efficient communication.
  • Follow the formal complaint resolution process to ensure prompt and effective issue resolution.
  • Prepare review packs and documents for Financial Planners to engage with clients as agreed upon per client relationship mandate.
  • Prepare documentation and request comparative quotations from various Product/Service Providers.
Client Records Management:
  • Capture client demographic data on relevant client management tools to create accurate records.
  • Maintain ongoing client data integrity by updating records as necessary.
  • Collate client-related information and prepare documentation for Financial Planner engagement.
  • Prepare client portfolios using Astute and/or product provider information.
  • Provide ongoing service and maintenance support to Financial Planners and their clients.
  • E nsure proper record-keeping in line with business rules and relevant legislation.
Transition and Commission Flows:
  • Manage all administration related to client transfers, including understanding client policies.
  • Prepare client presentation packs according to product provider guidelines and principles.
  • Check transition documentation for completeness and accuracy in alignment with client file checklists.
  • Submit intermediary appointment notes to relevant product providers and monitor amendments.
  • Liaise with product providers regarding commissions/fees to be paid to Financial Planners.
  • Distribute Transition communication(s) to clients as stipulated in the client management plan.
New Business and Commission Flows:
  • Administer new business transactions, preparing client presentation packs for Financial Planner engagement.
  • Request comparative quotations from various Product/Service Providers and prepare all documentation up to signature stage.
  • Monitor underwriting and acceptance of new business transactions, arranging medicals where required.
  • Liaise with product providers regarding commissions/fees to be paid to Financial Planners.
  • Distribute New Business communication(s) to clients as stipulated in the client management plan.
General Office Management:
  • Attend to technology issues experienced by Financial Planners and facilitate solutions.
  • Submit orders for stationery, business cards, marketing brochures, and client folders to the Operations Support Manager timeously.
  • Maintain an accurate diary system to ensure efficient scheduling.
  • E nsure proper record-keeping in line with business rules and relevant legislation.
Marketing Support:
  • Assist with regional events and organise smaller client events, including venue booking and RSVP management.
  • Represent Financial Planners at client events and represent the business where required.
