Job Title: Senior Payroll and HR Assistant

Vacancy: Senior Payroll administrator & HR Assistant

Key Responsibilities:

  • Manage the full payroll function, processing monthly and weekly payrolls for multiple entities (250+ employees)
  • Prepare and submit statutory returns and handle statutory payments
  • Respond to staff queries and resolve issues efficiently
  • Handle garnishees and maintenance orders
  • Capture employee data for engagements, terminations, transfers, and promotions
  • Monitor payroll variances and identify areas for improvement
  • Prepare payroll files for finance and produce reports for month-end
  • Collect and process payroll input for monthly and weekly payrolls
  • Maintain annual and sick leave registers
  • Update pension and medical aid/insurance schedules and contributions
  • Accurately capture and review data, ensuring accuracy and compliance
  • Process timesheets and ensure deadlines are met
  • Prepare and send net listing reports to relevant departments for approval and payment
  • Submit monthly UIF declarations and returns to various Bargaining Councils
  • Assist with day-to-day HR operations and duties
  • Process documentation and prepare reports on personnel activities (staffing, recruitment, training, performance evaluations etc.)
  • Schedule meetings, interviews, and appointments
  • Coordinate HR projects (meetings, training, surveys etc.)
  • Conduct initial orientation for new employees
  • Support company culture, team building, and events
  • Issue employment contracts, warnings, and other HR-related documentation
  • Oversee IODs and students (attendance registers, logbooks etc.)
  • Manage the clocking system (capture of leave, sick leave etc.)
  • Administer databases and filing systems
  • Compile and prepare reports, and perform administrative tasks as required
