Job Overview

Position Summary
To manage and coordinate product bookings and scheduled travel services, with the goal of exceeding client and supplier expectations.

Key Responsibilities
Reservation Management

  • Oversee bookings for scheduled travel services and transfers.
  • Process reservations from both internal and external B2B and B2C sources.
  • Facilitate operations for shared transportation tours.
  • Serve diverse client segments, including international agents, local travel agencies, and direct online consumers.
  • Engage with suppliers such as hotels, activity providers, tour leaders, and transport companies.

Email Management

  • Organize, respond to, and archive emails daily from designated inboxes.
  • Maintain response protocols and turnaround timelines.

Live Chat Support

  • Provide timely assistance to customers navigating the website.
  • Adhere to Live Chat guidelines during operational hours.

Quoting Process

  • Gain insights into pricing for day excursions and transfers.
  • Follow departmental quoting protocols.
  • Understand financial and operational aspects impacting tours.

Booking Management

  • Confirm and finalize bookings for tours, airport transfers, day trips, and charter requests.
  • Track group sizes to avoid overbooking.
  • Convert provisional bookings by the designated cut-off date.
  • Manage supplier allocations and comply with reservation protocols.

Financial Oversight

  • Negotiate terms with suppliers.
  • Calculate tour expenses and selling prices.
  • Monitor tour profitability and ensure accurate billing.
  • Submit supplier invoices in a timely manner and follow departmental guidelines.

Cancellations and Refunds

  • Familiarize with cancellation policies and travel regulations.
  • Adhere to procedures to minimize cancellation fees.
  • Manage cancellation fees and refunds with both suppliers and clients.
  • Process cancellations and refunds as necessary.

Pre-Tour Coordination

  • Prepare for tour dispatch and accommodation needs.
  • Ensure all details are accurate prior to departure.
  • Coordinate rooming lists, alternative lodging, and tour guide assignments.
  • Confirm transfers, optional excursions, and guest travel requirements.

During Tour Support

  • Assist guests with issues and lost belongings.
  • Check in with tour leaders and resolve any challenges.
  • Report any negative experiences affecting the tour.
  • Manage last-minute travel adjustments.

Service Delivery and Customer Care

  • Uphold service standards and communicate effectively.
  • Respond swiftly to inquiries and provide destination insights.
  • Promote additional services and ensure proper documentation management.
  • Handle emergency responsibilities as required.

Incident and Complaint Management

  • Report incidents promptly and take necessary actions.
  • Document incidents and complaints in accordance with procedures.

Sales Initiatives

  • Propose additional relevant products and follow up on quotes.
  • Understand sales strategies and objectives.

Product Management

  • Monitor feedback and escalate issues to the Product Development team.
  • Update product information and comprehend tour itineraries.


Qualifications

Education and Experience

  • High school diploma required.
  • Travel & Tourism qualification preferred.
  • Extensive knowledge of regional destinations and Southern Africa.
  • Proficiency in online booking systems.
  • Minimum of 3 years experience in Group Series Tour consulting.
  • Familiarity with Tourplan is a plus.

Skills and Competencies

  • Strong communication, problem-solving, and organizational abilities.
  • Capability to negotiate, make decisions, and collaborate effectively.
  • Proficiency in Microsoft Office applications.
  • Solid understanding of the tourism industry and logistical operations.
