Key Responsibilities
  1. Manage the Executive Director's calendar, prioritize urgent matters, schedule appointments, meetings, and travel arrangements to ensure optimal time management and organization.
  2. Handle incoming and outgoing communications, including emails, calls, and correspondence, while maintaining confidentiality and professionalism.
  3. Arrange travel, accommodation, and itineraries for both domestic and international business trips, ensuring timely and efficient execution.
  4. Organize key events, including board meetings, client events, and internal team activities, while ensuring seamless logistics and follow-up.
  5. Prepare, review, and organize important documents, presentations, and reports, using your exceptional typing skills and attention to detail.
  6. Proofread legal documents and correspondence, ensuring accuracy and timeliness, while upholding high standards of professionalism.
  7. Assist with ongoing projects by providing administrative support, tracking project timelines, and ensuring deadlines are met.
  8. Conduct research and prepare reports, presentations, and briefings as needed, using your analytical and problem-solving skills.
  9. Gather market insights to assist with strategic decision-making, including analysis and industry trends, while maintaining confidentiality and discretion.
  10. Serve as a liaison between the Executive Director and internal teams, clients, and stakeholders, fostering effective communication and collaboration.
  11. Maintain confidentiality of sensitive information and handle high-pressure situations with discretion, professionalism, and composure.
Requirements

A degree or diploma in Business Administration, Legal Studies, or a related field is preferred. We are looking for someone with 5+ years of proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role within a legal firm. You should have strong organizational and time-management skills, with the ability to manage competing priorities.

Your exceptional typing skills, attention to detail, and ability to produce accurate documents quickly and efficiently will be invaluable in this role. You should also have excellent communication skills, both verbal and written, with the ability to represent the Executive Director professionally and interact effectively with senior executives, clients, and stakeholders.
